About the Role

We are looking for a proactive, organised, and dependable candidate to support the daily operations of our Kuala Lumpur office.

This role is ideal for someone who enjoys creating efficient workflows, managing multiple responsibilities, and working within a dynamic creative environment. You will play a key role in ensuring the smooth day-to-day operation of the office while providing administrative support to our leadership and project teams.

Key Responsibilities

  • Manage day-to-day office administration and ensure efficient office operations.
  • Handle incoming calls, emails, correspondence, and general enquiries professionally.
  • Maintain office records, filing systems, and administrative documentation.
  • Coordinate appointments, and calendars for management.
  • Assist with travel arrangements, accommodation bookings, and itineraries.
  • Manage office supplies, pantry items, stationery, and inventory.
  • Liaise with vendors, building management, couriers, and service providers.
  • Welcome visitors and ensure a professional reception experience.
  • Prepare letters and general documentation.
  • Support project teams with administrative tasks when required.
  • Assist with company meetings, and internal activities.
  • Perform other administrative duties assigned by management.

Requirements

  • Diploma or Degree in Business Administration, Office Management, or a related discipline.
  • Minimum 2 years of relevant administrative or office management experience.
  • Excellent organisational and time management skills with strong attention to detail.
  • Strong interpersonal and communication skills.
  • Professional telephone etiquette and customer service skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and general office software.
  • Able to manage multiple priorities in a fast-paced environment.
  • Resourceful, responsible, and able to work independently with minimal supervision.
  • Fluent in both English and Bahasa Malaysia (spoken and written).
  • Willing to work full-time on-site in Kuala Lumpur.
  • Experience in an architecture, interior design, hospitality, or creative studio will be an added advantage.
