As a leading OTA business, tiket.com is expanding its offerings with the launch of tiketplus. This new product, operated under our sister company PT Promoland Indowisata, is seeking a highly motivated 2 Admins Staff to join its dynamic team.

Position: MICE Admin

Job Summary: is responsible for providing administrative support to ensure the smooth execution of MICE (Meetings, Incentives, Conferences, and Exhibitions) projects. This role involves managing documentation, coordinating with vendors, tracking expenses, and ensuring that all operational and administrative processes are completed efficiently and on time.

Key Responsibilities:

1. Administrative Support:

Handle all administrative tasks related to MICE events, including document preparation, scheduling, and record-keeping.

Assist in creating event proposals, agreements, and itineraries.

Organize and maintain digital and physical files for easy retrieval and reference.

2. Vendor Coordination

Maintain and update vendor lists, including bank account details and contact information.

Communicate with vendors to confirm bookings, negotiate terms, and resolve issues.

Ensure all vendor-related documentation, such as agreements and invoices, is complete and accurate.

3. Financial Tracking

Monitor event budgets and expenses to ensure projects stay within financial constraints.

Prepare and process payment requests with complete documentation for vendor transactions.

Update expense records in the system (e.g., TOP) to maintain accuracy and transparency.

4. MOU & Contract Management

File and organize Memorandum of Understanding (MOU) and contracts systematically.

Track MOU validity and send reminders to sales teams for renewals.

5. Event Documentation & Reporting

Compile event reports, including vendor performance and budget utilization.

Assist in preparing event evaluations and post-event documentation.

Manage timely submission and collection of event-related documents, such as permits and licenses.

6. Other Administrative Duties

Provide support during event preparations, including coordinating logistics and assisting on-site if necessary.

Respond to inquiries from internal teams, vendors, or clients related to event administration.

Qualifications and Skills:

Education: Diploma (D3) or Bachelor’s (S1) degree in Business Administration, Tourism, or a related field.

Experience: Proven experience in administration, event coordination, or a related role within the MICE industry is preferred.

Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and familiarity with event management tools (e.g., TOP) is a plus.

Soft Skills:

Communication: Excellent verbal and written communication skills to work effectively with diverse teams and external parties.

Organization: Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

Flexibility: Willingness to work non-standard hours, including evenings and weekends, when required for events.

Problem-Solving: Ability to troubleshoot and resolve issues quickly and effectively.

Team Player: A collaborative mindset with a focus on customer satisfaction.

Familiarity with MICE industry practices and trends.

Experience in financial tracking and budget management.
