The MSOT Administrative Support Coordinator is a skilled and experienced individual serving as a Clinical Coordinator and Administrative Assistant for the graduate Occupational Therapy program. Under the supervision of the Director of the Master of Occupational Therapy Program, this 12-month full time role combines clinical support and administrative responsibilities to ensure the smooth operation of the program and enhance the learning experience of our students. This role requires utmost professionalism and confidentiality, especially when handling sensitive student health and educational records. Strict adherence to privacy protocols is essential.
Responsibilities
Clinical Support including but not limited to:
Support the Academic Fieldwork Coordinator (AFWC) in managing student health requirements and other areas of compliance within necessary online platforms (EXXAT, ACEMAPP, Silk Road) including monitoring of approval status, expiration dates, and coordinating background checks.
Support the MSOT program in managing fieldwork site contracts and information, ensuring signatures, dates and personnel remain current while establishing new contractual agreements at the direction of the AFWC.
Communicate with all fieldwork stakeholders (including students, site coordinators, and fieldwork educators) to ensure compliance and maintain accurate site records.
Assist in the collection of fieldwork reports to assist in program assessment and accreditation.
Monitor communication with fieldwork educators to confirm agreement with objectives and verification of licensure.
Attend coordination and support meetings with online platforms (ACEMAPP, EXXAT, Silk Road).
Administrative Support including but not limited to:
Assist with student recruiting and admissions processes for the program
Provide support with faculty searches
Assist faculty in teaching and professional responsibilities (course material preparation, preparation of proposals, grants, articles, etc.)
Assist in the preparation and arrangements for accreditation materials, reports, and visits
Assist in the preparation of budget requests, orders, reimbursements, and other business requests from internal and external offices
Handle correspondence for faculty (mail, composing and ending routine letters)
Assist faculty with conference registration and travel arrangements
Assist adjunct faculty with administrative functions
Assist in organizing immersive experiences, seminars, and guest lectures for students
Run and prepare reports for the program
Maintain program files and reports as needed
Monitor and order program supplies
Attend program meetings and maintain minutes
Provide support for school events including catering, room set up, and RSVPs/invitations.
Other duties as assigned.
Qualifications
Qualifications:
High School diploma required
Experience in academic or clinical education preferred
Strong organizational and communication skills (written and verbal)
Knowledge of administrative office procedures
Proficiency in relevant software and technology used in OT practice and education (EXXAT, ACEMAPP, Microsoft Office Suite)
Experience learning and using other technology applications
Familiarity with FERPA regulations regarding the maintenance and release of protected data
Excellent interpersonal skills
Strong organizational and problem-solving skills
Proven ability to effectively multi-task and prioritize work
Attention to detail and accuracy
Ability to work collaboratively in a team environment
