The office administration role oversees the support operations of an organization. Main responsibilities of the office administrator aspect include implementing administrative systems, procedures, and policies, purchasing and facilities management, and monitoring administrative projects, provide office reimbursement support, timely archive office documents.

Primary Responsibilities

• Coordinating office upkeep with building management service to resolve facility related issues (including office lease, renovation and repair).

• Coordinate with current vendors (including telecommunication solutions, mail shipping, utilities, etc.) to support daily office operation inquiries.

• Maintain company asset and inventory, work closely with other offices to monitor the usage of supplies and equipment and make orders from external venders. Identify the needs for asset acquisition or disposal.

• Assist in the procurement and cost reimbursement of office supplies and services on the regular basis. Coordinate with potential vendors to conduct market research, negotiate contracts when necessary.

• Complete the company’s annual business compliance registration works.

• Respond to other team’s (HR, marketing and legal/compliance) necessary company management tasks, including employee safety , emergency response, office support and marketing plan, etc.

• Establishing/updating internal policies, and relevant administrative templates according to the requirements of the headquarters and management team, and conduct relevant trainings.

• Acts as the first point of contact for office hardware issues. Coordinate with HQ and local third party IT support contacts to conduct basic trouble shooting works when necessary.

• Manage office access control for visitors (including new hires and resign staff).

• Assist with meeting arrangement requests.

• Participates on ad-hoc special projects assigned by management team.

Requirements:

• Eagerness to learn and willingness to take on new responsibilities

• Excellent written and verbal communication and interpersonal skills

• Excellent planning, organizational and problem-solving skills

• Ability to perform tasks in an accurate, efficient and timely manner

• Accurate and detail oriented

• Outstanding written and oral communication skills in Russian, English and Mandarin is required

• MS Office experience (Word, Excel and Outlook) required

• Strong organizational and multi-tasking skills to meet competing deadlines.

• Utmost discretion and the ability to handle highly sensitive and confidential information with professionalism.

• Proficiency in creating, maintaining, and organizing corporate records.

• Bachelor’s degree in Business Administration is preferred;

• 1-2 years related working experience is plus
