Pure Mechanical Group Inc. is a dynamic and growing mechanical contractor based in Oshawa, specializing in commercial and industrial services across Durham Region and Greater Toronto Area (GTA). We are seeking a proactive Office Administrator to join our team in our fast-paced environment.

Job Type:           Full-time (40 hours per week)

Hourly:              Competitive, based on experience

Hours:               Monday to Friday 9:00 am to 5:00 pm

Location:           Office – 343 Bloor St. W. Oshawa ON L1J 5Y5

Benefits:            Eligibility for benefits after 3 months

Position Overview

As the Office Administrator, you will play a key role in supporting the operational efficiency of our team, managing a variety of administrative tasks, and ensuring smooth business operations. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities.

Key Responsibilities

·        Data Entry: Accurately input financial and operational data.

·        Financial Administration: Process QuickBooks entries for expenses, supplier bill payments, and invoicing.

·        Expense Management: Maintain and update expense and equipment lists; scan and upload receipts.

·        Accounts Receivable: Draft and manage invoices in our CRM; Responsible for semi-monthly account statements and respond to customer account inquiries, and ensure timely collection.

·        Financial Analysis: Assist with job cost tracking, profitability analysis, and ad-hoc financial queries.

·        Dispatch Support: Provide backup for dispatching duties, including scheduling work orders and responding to customer inquiries via phone and email.

Candidate Requirements

·        Communication Skills: Strong verbal and written communication abilities, with the capacity to interact effectively with customers and internal teams.

·        Customer-Oriented: Approachable, with a positive and professional demeanor when responding to customer inquiries.

·        Adaptability: Ability to multitask and manage competing priorities in a fast-paced environment.

·        Attention to Detail: High level of accuracy in data entry and financial processing.

Qualifications

·        Post-secondary education, preferably a diploma in Accounting, Business Administration, or a related field.

·        3-5 years of experience in administrative support, with a focus on accounting and office management.

·        Experience with HVACR and/or sheet metal industries are an asset.

·        Proficiency in QuickBooks, Microsoft Office, CRM database and Sharepoint.

·        Knowledge of HVAC products/terminology and experience in a unionized environment is considered an asset.
