Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a strong background in office management, calendar management, and customer service, along with proficiency in various software applications.
Responsibilities
Manage executive calendars, scheduling appointments and coordinating meetings effectively.
Assist with event planning, including logistics, venue selection, and attendee coordination.
Prepare and edit correspondence, reports, and presentations as needed.
Maintain organized filing systems and ensure all documents are up-to-date.
Utilize DocuSign for document management and electronic signatures.
Handle administrative tasks such as travel arrangements, expense reporting, and office supply management.
Provide exceptional customer service to internal and external stakeholders.
Collaborate with team members on various projects and initiatives as required.
Support financial operations by utilizing QuickBooks for invoicing and bookkeeping tasks.
Requirements
Proven experience as a personal assistant or in a similar administrative role.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in computer literacy, including Microsoft Office Suite and other relevant software applications.
Familiarity with DocuSign and QuickBooks is preferred but not mandatory.
Excellent communication skills, both written and verbal.
Ability to work independently while also being a collaborative team player.
A proactive approach to problem-solving with strong decision-making capabilities.
Previous experience in office management is highly desirable.
