TopFloor is looking for a detail-oriented Office Administrator to join our team in Kabwe. The Office Administrator will play a vital role in ensuring the smooth operation of the office by managing administrative tasks, supporting staff members, and maintaining a clean and organized work environment. This role is suited for someone who is proactive, organized, and capable of handling various responsibilities in a fast-paced environment.
Key Responsibilities:
Manage day-to-day office operations, including office supplies, equipment maintenance, and vendor coordination
Assist in coordinating meetings, travel arrangements, and logistical support for staff and visitors
Maintain office filing systems, both electronic and physical, ensuring all documents are properly organized and easily accessible
Handle incoming correspondence, including phone calls, emails, and visitors, and direct them to the appropriate staff members
Prepare and manage documentation related to company policies, procedures, and compliance
Support human resources activities, including record-keeping for employee attendance, leave, and benefits
Report any maintenance or repair needs to the appropriate personnel in a timely manner
Assist in organizing company events, training sessions, and team-building activities
Monitor and restock cleaning supplies as needed, ensuring availability at all times
Assist with organizing office supplies and materials, ensuring items are easily accessible and well-organized
Maintain cleanliness of restrooms, kitchen areas, and common spaces, including ensuring cleanliness of appliances and office supplies
Requirements
A diploma or bachelor’s degree in Business Administration or a related field
Ability to work independently and manage time effectively
Reliability and punctuality are essential for this role
Minimum of 2 years of experience in an administrative role or office management
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment
Excellent communication and interpersonal skills, with a focus on customer service
A proactive approach to problem-solving and ability to handle unexpected issues professionally
Ability to work both independently and as part of a team
Strong organizational skills, attention to detail and commitment to high-quality cleanliness standards
Knowledge of cleaning chemicals and supplies and their safe usage
Ability to perform manual tasks
Possession of valid Drivers License
