Job Summary
We are conducting a search for our client who runs a successful design firm.
We are seeking a detail-oriented and organized Office Administrator to join our team. TThe Administrative Assistant supports Interior Designers, Project Manager and Founder/CEO. This role is essential to ensure smooth operations across multiple aspects of our design-build and remodel firm. This position requires strong computer literacy and clerical skills, along with the ability to communicate effectively in English.
This role may be for you if you are highly organized, have strong attention to detail and are adapt a managing multiple projects with many moving parts.
Responsibilities
This position places and tracks orders, manages our Certificate of Insurance/Subcontractor agreements, anticipates the needs of the Founder/CEO by staying steps ahead, proactively managing schedules, appointments, communications and priorities and organizes the sample library.
Assist in all aspects of communication between Designers, Clients, and Trade Partners. (Currently for confirming appointments, ordering product, tracking product, scheduling deliveries.
Price and obtain samples/specs of materials and products for projects.
Maintain specification spreadsheets/databases with updated information in Monday.com.
Produce accurate purchase orders and estimates for furnishings and blinds.
Obtain confirmation and acknowledgement on all orders and alert Designers of any back orders or discontinued items.
Track purchase orders to assure delivery dates and keep delivery schedule updated with any changes throughout the tracking process.
Schedule and facilitate installations and deliveries.
Inspect goods upon delivery and carefully document any damaged items.
Facilitate claim process on damaged goods.
Tracks and reconciles accounts related to projects, vendors, leads, and expenses to ensure accuracy and transparency.
Assist in communication and coordinating meetings with potential & existing clients. (Not as heavy of a roll).
Assist in sales and marketing efforts (including social media and photoshoots) to drive more leads and help convert more prospective leads to clients.
Prepares and tracks potential sales monthly.
Keep the design library and office organized.
Assist with scheduling appointments and coordinating meetings.
Support team members with clerical tasks as needed.
Ensure that office supplies are stocked and organized.
Experience
Previous experience in an office environment is required.
Previous design experience is not required, but is a plus.
Proficiency in computer applications.
Strong clerical skills with attention to detail.
Familiarity with front desk operations and phone systems is advantageous.
Ability to work independently as well as part of a team.

Pay: $22.00 – $24.00 per hour
Expected hours: 35 – 40 per week
