Chalos & Co International Law Firm is seeking a detail-oriented and proactive Office Administrator. The ideal candidate will manage all aspects of billing, payments, vendor relationships, and office operations for a boutique law firm. This position requires strong organizational skills, the ability to handle multiple tasks efficiently, and a keen eye for detail.
Responsibilities:
Generate pre-bills for lawyers for review and timely invoice submission to clients
Manage the electronic billing process
Manage client trust accounts and firm accounts.
Enter and process semi-monthly payroll through ADP, ensuring accuracy for tax deductions and withholdings
Manage budgets and maintenance schedule for supplies, equipment and office technology
Collaborate with brokers and insurance providers for employee benefits, including health, dental/vision, and professional liability insurance renewals.
Maintain employee files, track vacation/sick day balances and ensure compliance with company policies.
Support with miscellaneous administrative tasks as required.
Qualifications:
Proficiency in QuickBooks Desktop Pro, Timeslips, ADP, LEDES invoices and e-billing programs, Microsoft Office Products
Strong organizational skills and attention to detail.
Excellent communication skills and the ability to work with vendors and clients.
Previous experience in billing, payroll, and office administration strongly preferred.
