Duties

Serve as the first point of contact for visitors and clients at the front desk, demonstrating excellent phone etiquette and professionalism.

Manage incoming calls, emails, and correspondence, ensuring timely responses and appropriate routing.

Maintain organized filing systems for both physical and digital documents, ensuring easy access to important information.

Oversee calendar management for team members, scheduling appointments and meetings efficiently.

Assist with office management tasks, including ordering supplies and coordinating maintenance services as needed.

Proofread documents for accuracy and clarity before distribution and edit and make amendments as necessary.

Arrange product shipments via email from one location to another.

Collaborate with team members to ensure effective communication and workflow within the office.

Utilize Google Suite applications for document creation, data management, and collaboration.

Requirements

Proven experience as an Office Administrator or in a similar administrative role.

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Microsoft office

Some Sage software knowledge is helpful, but not a must.

Experience in basic accounting software is helpful, but not a must.

Proficiency in Google Suite (Docs, Sheets, Calendar) is essential.

Excellent proofreading skills with a keen eye for detail.

Strong interpersonal skills and the ability to work effectively within a team environment.

Ability to maintain confidentiality and handle sensitive information with discretion.
