Job Overview
Diamond Rock Construction (DRC) is a diverse business group comprised of several companies and services including construction, residential rental management, landscaping, and lending. DRC is seeking a hard-working, detail-oriented Office Administrator/Accounts Payable who will report to and assist the Financial Controller. The Office Administrator/Accounts Payable will be responsible for managing a high volume of transactions and administrative duties. The right candidate must be comfortable multi-tasking and managing many deliverables simultaneously. This role requires strong analytical skills and an understanding of accounting principles.
Duties include, but are not limited to:
Accounts Payable:
· Process vendor invoices ensuring accurate coding and job costing
· Manage payment timing to maximize utilization of vendor discount terms
· Reconcile and pay credit cards on time to ensure credit availability and limit fees
· Foster positive relationships with vendors through professional correspondence
· Maintain vendor data including W-9s and 1099 vendor status
· Prepare annual 1099 forms for all companies
Office Administration:
· Oversee document filing and record retention
· Process daily mail and ensure all documents are routed to the appropriate individuals
· Receive incoming calls and forward to colleagues as appropriate
· Order office supplies as needed to enable employee effectiveness
· Assist in administering HR functions including benefit enrollment and new hire reporting
General Ledger:
· Receive and deposit incoming checks
· Post journal entries and other month end close adjustments
· Reconcile bank accounts, credit cards, and loan accounts
· Research and resolve accounting errors or discrepancies as needed
· Prepare financial reports and schedules for internal and external customers
Desired Qualifications:
· Three years of accounting/bookkeeping experience
· QuickBooks Desktop proficiency (job costing experience preferred)
· Working knowledge of Excel and Word
· Highly organized, detail-oriented, and quality-focused
· Strong communication skills, positive attitude, and kind to others
· Ability to multi-task in a high-paced environment
· Analytical skills with the ability to troubleshoot issues effectively
· Willingness to listen, learn, and follow instructions
Job Type: Full-time
Pay: $22.00 – $32.00 per hour
Expected hours: 40 per week
