Spencer Contracting, a well-established company specializing in commercial renovations and repair services, is looking for a highly organized and detail-driven Office Assistant. This role involves providing general administrative support, assisting the accounting team, and managing communications between technicians, clients, and project managers.

Key Responsibilities:

Administrative Support – Handle incoming calls, emails, and texts professionally. Assist leadership, project managers, and accounting staff with administrative tasks. Maintain an organized and efficient office environment.
Reception & Customer Service – Greet visitors, answer multi-line phone systems, and ensure a positive client experience.
Accounts Payable Assistance – Manage invoices, enter bills and credit card receipts, and coordinate with subcontractors on necessary documentation like W-9s and insurance certificates.
Accounts Receivable Support – Maintain QuickBooks item lists and pricing, organize invoicing paperwork, and follow up with clients regarding outstanding balances.
Project Management Assistance – Schedule site visits, coordinate out-of-town travel, log client calls, and handle communications regarding project timelines and updates.
General Office Tasks – Perform data entry, maintain records, and take on other administrative duties as needed.

Qualifications & Skills:

Minimum 2 years of experience in office administration, bookkeeping, or data entry.
Familiarity with basic accounting (billing, invoicing, etc.) is required.
Experience with QuickBooks Desktop or similar accounting software is a plus.
Strong proficiency in Microsoft Excel and other office software.
Excellent written and verbal communication skills.
Customer service experience and a problem-solving mindset.
Ability to multitask and work effectively in a collaborative environment.
Must pass a background check and drug screening.

Schedule & Benefits:

Hours: Monday-Friday, 8:00 AM – 4:30 PM CT (30-minute lunch break)
