The Department of Corrections is seeking a highly motivated and qualified individual to fill a permanent position for an Office Assistant 3 at Cedar Creek Corrections Center. The incumbent will work under the general supervision of an Administrative Assistant 4 and independently perform a variety of complex clerical projects, establish record‑keeping systems, and respond to inquiries requiring substantive knowledge of office/departmental policies and procedures in support of the Department of Corrections mission.
Responsibilities
- Review all Incident Reports: label, log into spreadsheet, scan into appropriate folder, and file into binder.
- Provide clerical support for projects and routine work assignments for the Administrative Assistant 4 (AA4) and Administrative Corrections Specialist 2 (CS2) including:
- Reviewing and date‑stamping all incoming Kites, coordinating with the AA4, logging, scanning, and filing.
- Assisting the CS2 in maintaining Policy Directives, monthly Policy Manual Indexes, and Emergency Management System (EMS) Policy Indexes by printing, filing, and updating listed documents.
- Assisting the CS2 with Office Memorandums (OM) for Executive Management Meetings, uploading completed and signed OM’s to the SharePoint site, distributing, printing, and filing.
- Answer all incoming calls to CCCC on a multi‑line phone system in a professional, courteous, and timely manner, while maintaining a positive and helpful attitude.
- Provide answers to questions and transfer calls to appropriate staff, ensuring callers receive responses within public disclosure guidelines and policies.
- Support the OA3 in records management and general office assistance.
Qualifications
- High school graduation or equivalent education.
- Ability to work competently in Microsoft Word and Excel and to learn job‑specific document programs.
- Two years of clerical experience (preferred).
- Database experience; typing; filing; verbal and writing skills.
- Knowledge of computers and Microsoft Office Programs.
