Receptionist/Scheduler

Duties:

Job description

Greet guests and screen everyone walking in

Answer phone calls and forward them as needed.

Always maintain a professional approach.

Coordinates staffing/personnel and scheduling activities.

Supervise work activities/schedules/care logs of caregivers

Receive, direct and relay telephone messages and fax messages

Pick up and deliver the mail

Maintain front desk printer/fax machine with paper

Keep front desk area clean and welcoming

Create admission binders for new referrals

Save all upcoming authorizations on the network and Clear Care

Save all 485’s on the network

Inform nurses of any changes regarding all member

Arrange coverage for members care if necessary

Provide missed hour report to Quality Assurance on a weekly basis

Respond to public inquiries

Provide word-processing and secretarial support

Develop and maintain a current and accurate filing system

Maintain a high level of client privacy and confidentiality per HIPAA regulations

Assist with filing in clinical department as well as the Human Resource department.

Qualifications:

– High school diploma or equivalent required; additional education or certification in office administration is preferred.
– Strong organizational skills with the ability to multitask and prioritize tasks effectively.
– Excellent written and verbal communication skills.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
– Detail-oriented with a high level of accuracy in data entry and record keeping.
– Ability to maintain confidentiality of sensitive information.
– Strong problem-solving skills and the ability to work independently or as part of a team.
