About the Role

This is a really exciting opportunity to join a fun and growing independent creative communications group at the ground floor. As the first point of contact internally and externally, you’ll gain unfettered access to all departments through this entry-level position, making it the perfect first step for someone looking to move into a career in the dynamic advertising and communications industry. 

The overall role of the Office Coordinator is to support the businesses by running the front of house, keeping the office organised and well-stocked and supporting the senior team where needed. 

You will be an excellent multi-tasker, with great written and verbal communication skills and have an ability to think on your feet in an ever-changing environment. Supporting an office of around 30-40 fun and creative people, your days could involve coordinating meetings, greeting clients, ensuring the office stationery and catering supplies are ordered, keeping everything efficient and orderly and providing an injection of culture into the office.

We’re a pro sports team (not a family). Every player, in every position is critical to the game. Ultimately, we are looking for a strong team player as there will be further opportunities for someone to get into other roles once they succeed in this role.

Responsibilities

Front of House Management – Being the face of 6 Victoria St, answering calls, emails and greeting guests with enthusiasm and energy 

Office Maintenance & Management – Keeping meeting rooms and office looking schmick & tidy, closing and opening office, organising couriers, ensuring the office is equipped with stationery and kitchen supplies etc

Serve as the primary point of contact for building management, coordinating with cleaners, handyman, the IT partner and others. Ensure that issues are promptly identified and swiftly resolved.

Meeting Management – oversight of meeting room bookings, AV resources and meeting catering

Culture Activities – Coordinating team culture events with support of Executive Assistant and Culture Club and create a joyful working environment 

Onboarding- New staff member set-up and organise inductions for new starters 

IT Support – G-Suite management, coordinating laptop and computer repairs, and general office tech

Asset Management – garage/computer accessories/ensuring all tech is organised and asset registry is up to date

Internal Comms – manage internal comms on new starters, staff birthdays, important events or office management.

General Admin – assisting the team with ad hoc daily admin where needed
