We’re looking for an Office Coordinator who enjoys keeping people organized, anticipating needs, solving problems before they become problems, and making every customer, visitor, applicant, and employee feel welcome.
In this highly visible role, you’ll serve as the face of our company while providing direct administrative support to our leadership team and helping keep our office operating smoothly every day. You’ll also work closely with our Manager of Project Administration, Accounting, and other departments to ensure our team has the support they need to succeed.

What You’ll Do
Every day will look a little different, but your responsibilities will include:
Create an Outstanding First Impression
- Welcome customers, visitors, applicants, vendors, and employees with professionalism and warmth.
- Answer incoming telephone calls, gather relevant information, and direct callers to the appropriate team member.
- Accurately relay messages and respond to general inquiries.
- Maintain a clean, organized, and professional front office area.
- Manage visitor access and follow established company security procedures.
Support the President/CEO
- Coordinate calendars, appointments, meetings, and scheduling priorities.
- Assist with organizing executive email communications and responding to routine requests as directed.
- Prepare correspondence, presentations, reports, meeting materials, and other business documents.
- Organize and maintain confidential legal, financial, and executive records.
- Handle confidential information with professionalism, discretion, and integrity.
Keep the Office Running Smoothly
- Order, receive, distribute, and maintain an appropriate inventory of office supplies.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Prepare outgoing mail and shipments.
- Maintain company directories, telephone lists, and administrative records.
- Create, update, organize, and retrieve electronic and physical files.
- Assist departments with administrative projects, document preparation, and other office needs.
Support Accounting
- Enter basic information and prepare simple reports as requested.
- Help ensure accounting records are complete, accurate, organized, and accessible.
Coordinate Company Events
- Assist with planning employee events, meetings, training sessions, customer functions, and other special events.
- Research and coordinate vendors, catering, supplies, and event logistics.
- Manage invitations, attendance lists, and event communications.
- Assist with event setup and breakdown as needed.

Qualifications
Required
- High school diploma or GED.
- Three or more years of experience in office administration, executive support, reception, customer service, or a related administrative role.
- Excellent written and verbal communication skills.
- Strong organizational, time-management, and follow-through abilities.
- Exceptional attention to detail and accuracy.
- Proficiency with Microsoft Outlook, Word, Excel, and Teams.
- Ability to handle confidential information with discretion and professionalism.
Preferred
- Experience supporting executive leadership.
- Experience in construction, engineering, professional services, or a similar industry.
- Basic accounting or bookkeeping experience.
- Experience coordinating meetings, employee events, or special projects.
