We’re currently looking for a highly organized, bilingualOffice Coordinator to join our Kyle, TX branch. This is a key role for someone who thrives on details, knows how to keep multiple balls in the air, and genuinely enjoys supporting a high-functioning team.
What You’ll Do
You’ll be the behind-the-scenes engine that keeps our office and operations running smoothly. Daily tasks will include a mix of logistics coordination, communication, auditing, and administrative work. Responsibilities include:
Operational Support
Coordinate and confirm all freight and delivery schedules
Verify costs on all outgoing tickets before scanning (e.g., saw time, fab time, CNC time, freight, delivery, and extra expenses)
Ensure inbound ROGs and transfers have accurate freight costs and are properly received and scanned
Follow up on open purchase orders and transfers with the operations team
Audit sales orders for accuracy
Enter new orders into Monday.com for scheduling
Serve as point of contact for ticket issues—identify, pull, and correct tickets as needed
Admin & Office Coordination
Maintain and manage Microsoft Teams content and internal branch communications
Coordinate facility repairs, maintenance, and service vendors (cleaning, landscaping, etc.)
Order and track office and operational supplies
Reconcile credit card statements (or assist with process)
Assist with time-off tracking, timesheet submission, and HR coordination
Support onboarding of new hires and maintain internal documentation
Deposit weekly cash and update cash recap reporting
Assist with freight claims in coordination with operations
What We’re Looking For
Bilingual (English/Spanish) required
2+ years of experience in office coordination, operations, or administrative support
Exceptional attention to detail and ability to work independently
Strong multitasking and time-management skills
Proficient in Microsoft Office (especially Excel, Outlook, and Teams)
CRM experience preferred (HubSpot a plus)
Comfortable in a fast-paced, constantly evolving environment
Positive attitude, approachable, and committed to team success
