Job Summary
We are seeking a highly organized and professional Office Coordinator to support day-to-day office operations and ensure a smooth, efficient workplace environment. The ideal candidate will serve as the first point of contact for visitors and calls while providing administrative, logistical, and operational support to leadership and internal teams.
Key Responsibilities
- Greet and assist visitors in a professional and welcoming manner at the front desk
- Manage incoming calls, emails, and general office communications
- Coordinate travel arrangements including flights, hotels, and transportation
- Maintain office organization, including conference rooms, kitchen areas, and supply inventory
- Support scheduling and coordination of meetings, internal events, and team activities
- Assist leadership with administrative tasks, reporting, documentation, and record-keeping
- Maintain calendars, meeting logistics, and appointment scheduling using MS Outlook
- Ensure smooth day-to-day office operations and support workplace needs
- Utilize Microsoft Office tools (Word, Excel, Outlook, PowerPoint) for reporting and documentation
Qualifications
- 5–8 years of experience in office coordination, administration, or executive support
- Strong communication and interpersonal skills with a professional demeanor
- Highly organized with excellent multitasking and prioritization abilities
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
- Experience handling front desk operations, scheduling, and travel coordination
- Detail-oriented with strong problem-solving and time management skills
- Ability to work independently and effectively support multiple stakeholders.
