Job Description
The City of Chesapeake is seeking a detail-oriented, organized, and adaptable Office Coordinator to join our Human Resources team. This position plays a vital role in ensuring smooth day-to-day administrative operations and supports a high-performing department that values courtesy, attentiveness, responsiveness, empowerment, and stewardship.
Position Summary:
The Office Coordinator performs a variety of administrative tasks and services to support the efficient and effective operations of the Human Resources Department. This position will also serve as the direct supervisor for the Office Specialist position, providing leadership, guidance, and support to ensure the delivery of high-quality administrative services. The ideal candidate will possess excellent communication and organizational skills, be comfortable multitasking in a fast-paced environment, and demonstrate initiative and professionalism in every task.
Key Responsibilities:
Supervise the Office Specialist, including assigning tasks, providing direction, and evaluating performance.
Operate a multi-line phone system, routing calls to appropriate personnel or departments.
Provide clerical and administrative support to HR staff.
Assist with new hire onboarding tasks including background check paperwork, badge preparation, and fingerprint processing.
Respond to routine inquiries from applicants and employees regarding policies, benefits, and hiring processes.
Process and pay invoices; create requisitions for purchase orders.
Maintain accurate and up-to-date HR files and records, ensuring confidentiality and proper organization.
Assist in coordinating department events such as benefits enrollment, staff meetings, training sessions, and recognition events.
Manage training class logistics including setup, attendance tracking, and certificate distribution.
Maintain and order department office supplies.
Process employment verifications not handled via The Work Number.
Assist with compiling data for subpoenas and FOIA requests.
Perform additional duties as assigned.
Qualifications:

High attention to detail and exceptional organizational skills.
Ability to adapt to changing priorities and meet deadlines in a fast-paced environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Ability to quickly learn and work with systems such as PeopleSoft, Laserfiche, MUNIS, and Applicant Tracking System.
Prior office or administrative support experience required; supervisory experience preferred.

Required Qualifications
VOCATIONAL/EDUCATIONAL REQUIREMENT:
Requires any combination of education and experience equivalent to an associate’s degree in word processing, secretarial skills, or a closely related field.
EXPERIENCE REQUIREMENT:
In addition to satisfying the vocational/education standards, this class requires a minimum of two years of full-time equivalent experience in administrative support.
SPECIAL CERTIFICATIONS AND LICENSES:
Requires valid driver’s license and driving record in compliance with City Driving Standards.
