Full Job Description

AMEND Consulting is seeking a proactive and detail-oriented Office and Experience Coordinator to join our team. This role is pivotal in ensuring our office runs smoothly and that every employee and guest enjoys a seamless, welcoming experience. You will be the go-to person for office operations, vendor coordination, internal meeting logistics, and general support.

Reporting to: Senior HR Specialist

Key Responsibilities

Office Operations:

Oversee day-to-day office operations to ensure a clean, organized, and efficient workspace for our team.

Order and maintain office supplies, snacks/ beverages, equipment, and inventory.

Own external vendor and service provider relationships.

Make proactive recommendations that will enhance the office environment for our team.

Internal Meeting Support:

Point of contact for planning and executing internal meetings; coordinate logistics for internal meetings and events, including room bookings, catering, and technology set-up.

Manage company event calendars, guest lists, and AMEND office experience for AMEND hosted events.

Support company-wide events and socials, and team-building activities

Maintain and manage the company’s internal calendar, ensuring visibility of key events, meetings, and initiatives.

Act as a liaison for SCC and Wellness committee meetings.

Organize meeting follow ups, takeaways, action items, and note taking as needed.

Employee & Guest Experience:

Serve as the first point of contact for visitors, ensuring a warm and professional welcome.

Manage guest check-in procedures and coordinate with relevant teams for meeting preparation.

Support the Senior HR Specialist with communications operations including information gathering, executing employee recognition tasks, and updating communications systems.

Onboarding & Offboarding Logistics:

Coordinate onboarding logistics for new hires, including setup tasks, and orientation scheduling.

Support offboarding processes by managing equipment returns, access removal, and exit logistics.

Ensure that all individuals and groups have a flawless interaction with AMEND from start to finish.

Ad Hoc Support:

Provide support on special projects, presentations, or tasks as needed.

Handle any other administrative duties that contribute to the smooth functioning of the office.

Maintain open communication with Senior HR Specialist to support shifting priorities and take on new assignments as requested.

Qualifications:

Proven experience in office management, administrative support, or operations coordination.

Ability to interface with customers & clients.

Strong organizational and multitasking skills.

Excellent written and verbal communication.

Interest in (and comfort with) technology and office systems.

Friendly, approachable, and committed to creating a positive office culture.
