Responsibilities
Provides assistance to the SVP of Operations, including but not limited to, scheduling calendar time blocks, managing meeting schedules, submitting credit card receipts, tracking mileage, returning voicemails, maintaining re-occurring calendar invites, and booking travel
Provides administrative support and special project assistance to the SVP of Operations, VP of Property Management and Property Operations leaders.
Prepares Property Management Agreements for signatures.
Assists in completion of development related checklists.
Updates and maintains property lists accurately and timely.
Coordinates document signing and delivery of signed documents to the appropriate parties.
Updates and maintains department databases.
Stays abreast to changes in state property management requirements and licensures.
Creates department update presentations, as well as any presentations requested by the SVP of Operations.
Assists with the preparation and follow-up of performance meetings, including coordinating necessary documents and sending out meeting follow-ups.
Creates Linked In content and posts for SVP of Operations.
Assists Operations Manager with team cultural initiatives.
Performs the preparation, editing, and formatting of general correspondence through word processing and spreadsheet tasks. Also, audits of previous and current projects.
Formats and proofreads documents.
Prepares and assembles reports, company materials, and client documents, as directed.
Communicates via phone to coordinate scheduling, handle inquiries, and resolve issues.
Manages and prioritizes incoming workflow to meet all deadlines in a deadline-focused environment.
Other duties as assigned.
Requirements:
Education:
Bachelor’s degree preferred
High School Degree or GED
Experience:
1+ years in a professional office environment
Demonstrated general knowledge of Property Management desired
Skills/Abilities:
Strong interpersonal, oral and writtencommunication skills.
Computer skills:
Microsoft Work, Excel, One Note and Outlook, Yardi, Visa Clarity
Exceptionalcommunication skillsand ability to interact with wide range of people.
Must be organized, detail oriented and have good time management skills.
