FabCo Prosthetic Designs is looking for a highly organized and driven Office Manager to undertake a variety of day-to-day operational, administrative, and billing functions. Although this role does not regularly interact directly with patients, a desire to understand the prosthetic industry is essential to providing exceptional support to the organization. The Office Manager will work closely with leadership, technicians, and clients—making this role a cornerstone of FabCo’s operational success. The ideal candidate is a proactive, detail-oriented professional with exceptional communication and leadership skills, capable of managing multiple priorities while supporting company goals and fostering a positive workplace culture. The goal is to ensure that office operations are efficient and add maximum value to the organization.

Responsibilities

  • Manages and organizes all office operations and procedures, ordering, filing systems, and overall office organization.
  • Establishes, modifies, and maintains organizational systems to enhance productivity, accuracy, and workflow efficiency.
  • Answers and screens telephone calls in a professional and timely manner; takes accurate messages maintaining a high degree of professionalism and courtesy; Exercises considerable judgment and discretion in handling requests for appointments and telephone calls with team members.
  • Welcomes visitors, partners, and vendors in a professional manner.
  • Oversees the full billing cycle including invoicing, accounts receivable, collections, statements for past-due accounts, and customer account maintenance. Must also prepare and mail all statements for past due accounts
  • Oversees customer accounts; handles all customer onboarding and maintains strong customer support and retention initiatives.
  • Monitors and improves customer service performance; collaborates with FabCo leadership to optimize client relations.
  • Manages fabrication workorders from start to finish; this includes updating the workorders as needed, overseeing workorder data flow from the customer to technicians to billing, preparing packing slips, and invoicing clients.
  • Prepares reports and correspondence on behalf of leadership.
  • Drafts, formats, and proofreads professional communication, memos, and email announcements.
  • Receives and distributes incoming mail; assists with preparation of all outgoing mail.
  • Assists with special projects assigned.

Skills

  • Bachelor Degree in business administration or relevant field is a plus
  • Proven experience as office manager or in a similar role; manufacturing experience is a plus.
  • Knowledge of basic bookkeeping principles and office management systems and procedures
  • Working knowledge of office equipment (phone systems, printing/scanning, etc)
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
  • Experience w/ general tech set-up and troubleshooting skills, sophisticated phone systems, and copy centers and equipment, etc.
  • Comfort with fast-paced environment.

Software Specific Requirements

  • Experience with Microsoft Office and Adobe
  • Experience w/ G Suite, Quickbooks and/or Canva is a plus.
  • Experience with Wix and/or social media is a plus.

Job Type: Full-time

Pay: $22.00 – $25.00 per hour
