Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and have experience in automotive office management. This role requires excellent communication abilities and a knack for supervising and managing a team effectively. The Office Manager will be responsible for ensuring that the office runs smoothly, efficiently, and in compliance with all relevant regulations.

Responsibilities

Supervise office staff, making sure tasks are done on time

Develop intra-office communication protocols

Manage employee schedules, ensuring coverage for the receptionist and the cashier

Verify daily receivables accounts

Review inventory and deal accounting for accuracy

Process car maintenance policies sold outside of car deals – Paylink

Assist office staff when needed to make sure deadlines are met

Review processes to ensure timely and accurate completion

Assist in processing vendor payments to clear charge accounts

Review refunds for ability to release to the customer, e.g. customer does not owe money for their deal

Help maintain accounting schedules and verify for end of month

Other tasks as required and requested by the Controller

Experience

3-5 years of experience of experience as an Automotive Office Manager

Experience with dealership accounting and software, preferably CDK

Excellent phone etiquette with the ability to communicate professionally at all levels

Demonstrated ability to supervise staff effectively while promoting teamwork
