We are seeking an Office and Executive Coordinatorwith strong accounting and bookkeeping experience to join our growing hospitality group. This role primarily supports the CEO/CFO and oversees administrative tasks within our corporate office in the NoMAD neighborhood of New York City.
The ideal candidate will be extremely organized, highly dependable, professional, and eager to learn and grow with ILILI Restaurants. Responsibilities include maintaining accurate bookkeeping, managing calendars, coordinating meetings, preparing reports, and executing essential general office administration. Additionally, this individual will work closely with the corporate leadership team to ensure standards are met across all operations, while promoting the company’s culture, mission, and philosophy.
Key Responsibilities:
Bookkeeping & Financial Management: Maintain accurate bookkeeping, manage daily receipts, payments, bank deposits, and reconciliations. Handle accounts payable/receivable, petty cash, and vendor records using QuickBooks.
Administrative Support: Manage office supplies, equipment, and maintenance. Supervise office needs, serve as the front line for visitors and calls, update mail and phone directories, and make travel arrangements. Manage calendars, schedule appointments, coordinate in-house meetings, and screen calls/emails.
Compliance & Coordination: Ensure compliance with licensing requirements and liaise with HR and Marketing departments. Handle confidential information accurately and report discrepancies to the CFO. Oversee sales data integrations, cost control reporting, daily sales audits, and vendor coordination.
Office and Guest Relation Coordination: Welcome and assist guests, manage visitor logs, and ensure a positive guest experience. Coordinate office events and meetings, maintain a clean and organized reception area, and handle guest inquiries. Facilitate communication between guests and staff and manage guest-related issues promptly.
Ideal Experience:
Minimum of 2 years of relevant accounting/bookkeeping experience
In-depth knowledge of food principles and best practices
Bachelor’s degree in accounting, Finance, or related discipline
Excellent communication skills and leadership qualities
Ability to thrive in a high-volume/high-pressure environment
Exceptional standards for cleanliness, health, and safety
Computer skills including MS Office and QuickBooks
Basic knowledge of financial documents (budgets, balance sheets, P&L statements, etc.)
Skilled at record keeping and analysis of financial and operational measures

**The compensation for this role falls between$75,000 to $80,000yr**
