Job Summary

We are hiring an additional Office Manager / Office Administrator to support our growing team. This position will work closely with our current office staff to ensure smooth day-to-day operations while providing key support in accounting, contract administration, and general business functions. The ideal candidate is highly organized, flexible, and comfortable managing a variety of tasks in a dynamic environment.

Key Responsibilities

Collaborate with the existing office team to manage general office operations (supplies, mail, vendor coordination, etc.)

Provide administrative support to project managers and leadership, including meeting coordination and document preparation

Assist with basic accounting tasks such as expense tracking, accounts payable processing, job cost entry, and paying vendors

Support contract administration by organizing subcontractor documents, certificates of insurance, and compliance tracking

Maintain company filing systems (digital and physical) with attention to confidentiality and accuracy

Help onboard new employees and maintain personnel records in coordination with HR processes

Track licenses, registrations, and project-related documentation

Answer phones, greet visitors, and manage general correspondence

Contribute to internal process improvements and help maintain an efficient and positive work environment

Qualifications

3+ years experience in office administration, office management, or executive assistance

Strong organizational and time management skills with a proactive mindset

Excellent communication skills, both written and verbal

Proficient in Microsoft Office, and general office technology

Comfortable working as part of a collaborative administrative team

Preferred

Experience in construction, architecture, or related industries

Exposure to contracts, subcontractor compliance, or job cost accounting

Pay: $65,000.00 – $110,000.00 per year
