ROLE

An experienced and dynamic administrative professional who excels in a fast-paced environment. You have stellar interpersonal skills, good judgment, and the ability to handle confidential information. Detail-oriented and proactive, you can manage multiple tasks and build strong relationships within the organization. This position will report to the Chief Global Commercialization Officer and provide administrative support to her and members of the Commercialization team. In addition, this role will be responsible for the office management of for enGene’s Boston Headquarters.

Essential Duties And Responsibilities

Manage day-to-day schedules in such a way that the assigned executive(s) can complete their obligations in an organized, efficient way

Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, etc

Ensure a strong understanding of team and executive priorities in order to manage calendar as effectively and efficiently as possible

Provide back-up to other administrative team members during vacations or absences, assisting with administrative support and management of calendars

Coordinate travel bookings (air, hotel, ground transportation and itineraries)

Assist with expense reports

Office Management:

Anticipate business needs, initiate actions and ensure the office is well organized and fully functional

Maintain office equipment and supplies and coordinate with vendors as needed

Handle incoming & outgoing mail (Including coordination of shipments and deliveries)

Manage office kitchen supplies, including regularly ordering food, snacks, and beverages to ensure a well-stocked and welcoming environment for staff

Manage office catering when needed

Conference management

Prep for office meetings to be sure the conference rooms are stocked with necessary items (water, paper, pens, markers, flip charts etc)

Organize conference rooms after meeting if needed

Maintain compliance with regulatory requirements (e.g., OSHA, FDA, or local biosafety regulations) and manage related documentation

Required Experience & Qualifications

Bachelor’s Degree in a relevant field

5+ years of administrative or executive support experience

Proficiency in Microsoft Office

Strong organizational and communication skills
