We’re looking for an  Executive Assistance & Office Manager  to keep our Bangalore office running smoothly. You’ll handle everything from daily operations and admin tasks to vendor management and special projects. This role requires a proactive,

hands-on

approach and the ability to juggle multiple responsibilities. You’ll be the go-to person for all things office-related while also supporting executive needs and fostering a great workplace culture.

What You’ll Do

Office & Facilities Management  Keep the office organized, clean, and fully stocked with supplies, snacks, and essentials.

Oversee office maintenance, including vendor management for cleaning, repairs, and hard services (air conditioning, electrical, plumbing, etc.).

Ensure security, safety, and compliance with local regulations.

Manage incoming mail, visitor access, and special guest arrangements.

Handle office insurance, IT support, and emergency protocols.

Operations & Administration  Track and coordinate key office data (travel, shipping, misc. expenses, etc.).

Collect and review invoices, purchase orders, and employee reimbursements.

Maintain accurate records, reports, and databases as needed.

Implement office policies and procedures.

Arrange candidate interviews, customer meeting schedules, and other online bookings.

Support executive team with admin and coordination tasks.

Culture & Employee Experience  Foster a welcoming and vibrant office environment.

Plan and organize team events, board meetings, and guest visits to enhance engagement.

Manage kitchen amenities and pantry supplies to ensure a comfortable workplace.

Serve as the main point of contact for office relations, addressing staff and visitor needs.

Respond to inquiry emails and handle internal communications effectively.

Manage and distribute swags and gifts to employees.

Set up and maintain RFIDs and biometric access for seamless office entry.

What You Bring

3+ years of office management experience, preferably in a startup.

A positive, can-do attitude with a

hands-on

approach.

Strong organizational and time management skills – you thrive on keeping things in order.

Attention to detail

– nothing gets past you.

Ability to multitask and juggle competing priorities effortlessly.

Familiarity with the local language is a plus!

Additional Requirements

This is an in-office role in Bengaluru, KA with extended business hours (9:00 AM – 7:00 PM). If you love keeping things organized and running smoothly while making an impact, we’d love to hear from you!
