Job Description
The Office Manager – Behavioral Health is responsible for overseeing the daily operations of the office, with the primary responsibility of managing patients’ schedules efficiently. Responsibilities include overseeing the hiring and training of office department employees, hosting office meetings, and conducting performance reviews for all office department employees. The Office Manager will also oversee the effectiveness of office support staff in screening telephone calls, text messages, faxes, and emails, accepting payments, insurance verification, eligibility, and scheduling psychological testing and psychotherapy (office and telehealth) appointments.
Must have the ability to multitask and work in a fast-paced environment while maintaining the highest level of professionalism.
Key Responsibilities:
Take ownership in overseeing the effectiveness of day-to-day operations and customer service for patients, providers, and referring community partners.
Utilize appropriate schedule codes in scheduling outpatient office and telehealth-based mental health procedures.
Ensure suitable follow-up appointments are scheduled after a procedure.
Communicate with the Clinical Director, relaying important information or policy changes from management.
Implement incentives to enhance employee productivity.
Oversee the work of designated office employees to ensure productivity and adherence to deadlines and company standards.
Manage designated office support weekly schedules and time-off requests.
Counsel employees struggling in their roles.
Organize weekly staff meetings.
Assist patients and community partners through effective communication.
Ensure operational functionality of company laptops, desktops, and phones.
Interview and train new team members and organize their employment paperwork.
Organize maintenance for office cleanliness and safety.
Report office progress to senior management and work to improve operations and procedures.
Execute established procedures and standards of quality and productivity.
Required Skills:
Strong written, computer, and communication skills.
Proficiency in Excel, Word, One Drive, Telehealth, and VIP Phone technologies.
Knowledge of HIPAA compliance.
Understanding of basic Behavioral Health office practices.
Positive attitude and strong work ethic.
Maintain and update patients’ confidential Electronic Health Records (EHR).
Friendly, energetic, and willing to provide assistance.
Ability to integrate marketing skills with basic office practices.
Computer proficiency in email, spreadsheets, and document creation.
Must be at least 21 years old.
Minimum Education Qualifications:
High School Diploma Required;
Associate or Bachelor’s Degree preferred.
