Nelson Geotechnical Associates, Inc. is a geotechnical engineering firm that has been providing geotechnical consultation and inspection services throughout Washington State for over 25 years. We are a tight-knit team of passionate geologists and engineers who are dedicated to providing the highest standard of geotechnical engineering services to our communities across Washington.
We are seeking a full-time Office Manager/Executive Assistant to join our office in Woodinville, Washington.
Position Overview:
Primary duties will include finalizing/sending out proposals, reports and other geotechnical documents, responding to and managing emails on a daily basis, assisting staff with project and database management, responding to and troubleshooting phone calls, managing Principal’s daily calendar and scheduling meetings, overseeing daily office operations.
The ideal candidate will have at least 2 years’ experience in office management and executive assistance. Familiarity with document control and a busy office setting. This is an in-office position and not subject to working from home. Candidate should be comfortable with computer work.

Salary range is $28 – $32 per hour DOE.
Job Duties Include but not limited to:
Finalizing proposals, letters, and reports (reviewing, editing, and formatting carefully and accurately) and then emailing to clients.
Responding to emails/client inquiries via email in a clear, concise, professional manner.
Managing Principal’s calendar and emails.
Updating project managers when signed proposals are returned; following up on down payments.
Providing customized Certificates of Insurance and W-9’s per client’s request.
Daily electronic file management.
Answering phones and troubleshooting/directing calls; taking cold call information.
Managing/tracking employee schedules, update sign-out sheet, update calendar with vacation/sick requests.
Ordering office supplies as needed, including break room supplies (i.e. coffee, paper towels, etc.).
Providing Human Resources assistance for new employees – providing and reviewing required forms/documentation, reviewing basic office procedure, set up desk, order field equipment.
Troubleshooting as needed (copiers/printers, IT issues, computer programs).
Retrieving and processing daily mail.
Preparing weekly deposits.
Desired Skills and Experience:
Strong proficiency in MS Suite (Word, Excel, Outlook), Adobe Acrobat, and internet.
Excellent verbal, written, and editing skills, as well as attention to detail.
Excellent organizational and time-management skills.
Excellent customer service skills.
Ability to work independently and as part of a team.
Ability to work efficiently and work well under pressure or deadlines .
Reliable, responsible, and self-motivated.
Comfortable working in a small, busy office environment.
Some knowledge of geology or earth sciences terminology helpful.
AA or college degree preferred; High School diploma required.
