General Description:
The ideal candidate will have administrative experience and be flexible and willing to take on various duties to support management. Should be versed in dealing with project and construction teams with excellent organizational and administrative skills. Support human resources processes by administering tests; scheduling medical testing and training; onboarding new hires; maintaining records and information.
Essential Functions:
Greeting visitors at LaPorte Office.
Answering and directing incoming calls, screening calls, taking messages, and directing incoming correspondence and request information. 
Arranges preliminary medical testing and drug screens of newly hired employees and maintains that information in confidential file.
Reviews policy and procedures, benefit packet, and completes I-9 with new and rehires. Utilizes E-Verify to verify citizenship for new and rehires.
Schedules new hires, rehires, and transfers for job site requirements, which include medical testing, safety council, ABC, etc.
Data entry of craft ratings
Compiles personnel records and reports data on employees such as address, phone, absences, vacation, transfers, promotions and terminations. Responsible for pulling, sorting and scanning these records as needed.
Recruiting and Onboarding Database, Viewpoint, Microsoft Access, Microsoft Excel and Microsoft Word for computer entry.
Process billing for all field work (labor, equipment & material) utilizing Access, Areiba and CDMS systems. Enter time into client tracking systems.
Document Control: Responsibilities include organizing, filing and maintaining document control logs.
Assist other managers with various project needs: copying, filling, data entry etc.
Loads paper, replaces cartridges in office equipment.
Makes copies of package material and miscellaneous documents as needed. Also faxes information as needed. Calls to have fax and copier serviced. Performs minor service on machines – changing paper, adding toner, and removing jammed paper.
Utilizes effective verbal and/or written communication skills with company visitors, callers and co-workers.
Responsible for the data entry and scanning of Safety training documents, weld papers, and continuity.
Responsible for the mail, UPS, and Fedex.
Purchase/inventory of office supplies.
Proficient in Microsoft Office, Including Word, Excel, etc.
Ability to handle sensitive and confidential information.
Ability to interface with all levels of management, clients, sub-contractors, vendors and personnel,
Ability to multi-task and quickly adapt to different situations.
Ability to operate office equipment.
Excellent typing, grammar, and language skills.
Excellent work ethic with strong problem solving skills with a consistent follow through attitude.
