Description and Functions

GENERAL DESCRIPTION:

To support Board Administrators for twenty independent regulatory boards through various licensure processes as required by each board’s Rules & Regulations and Practice Act.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

Ensure all applications are continuously updated with relevant information.
Ensure all required documents are received in accordance with the Rules & Regulations.
Verify that submitted documents meet requirements in Rules & Regulations.
Educate and instruct the public on requirements for license, certificate, and permit for several different professions in accordance with the Rules & Regulations for each board.
Initiate records in the database to reflect correct personal information received from applications.
Process fingerprint cards for background checks.
Ensure examination eligibility approvals are submitted and process examination score reports received.
Process National Practitioner Data Bank queries for new applicants in accordance with federal law.
Assign license number.
Accurately update the database to reflect issues and expiration dates.
Print wall certificates, pocket identification cards, confirmation letters, appropriate examination information, and obtain required signatures.
Respond both verbally and in writing to various inquiries dealing with procedures, policies, licensure requirements, continuing education requirements, renewal requirements, and application status.
Prepare various items of correspondence for the Administrator’s signature and distribute them as directed.
Assist Board Administrators in carrying out the agency’s purpose.
Attend board meetings when needed and assist with reserving meeting rooms.
Open, date stamp, and deliver mail daily.
Draft correspondence for mass mailing renewal notices via regular mail or email, ensuring proper expiration dates and fees are communicated.
Ensure notices are sent in accordance with the Rules & Regulations of each board.
Assist licensees with the renewal process, either online or in paper format.
Update and maintain the database.
Update templates to ensure proper notification of approval is being sent to licensees.
Ensure appropriate correspondence is disseminated upon renewal approval.
Ensure correct fees are received and processed in accordance with related policies.
Prepare board member travel reimbursements.
Order office supplies.
Reconcile Purchasing Card statements.
Verify licensure status to other jurisdictions, state agencies, and third parties.
Ensure proper fees are collected with verification requests.
Prepare official verification correspondence.
Maintain physical file system.
Prepare files for scanning for electronic storage.
Accurately scan and enter electronic archives into Content Manager.
Ensure the most current applications are uploaded to websites.
Ensure accurate rosters of all licenses, certificates, and permit holders are updated on a consistent basis.
Maintain board contact information.
Maintain accurate data on all applications and renewals entered.
Ensure the accuracy of electronic correspondence.

Qualifications

KNOWLEDGE:

Knowledge of applicable computer applications.
Knowledge of records processing and maintenance procedures and systems.
Knowledge in the preparation of complicated documents.
Knowledge and understanding of the agency and each respective division/program.
Knowledge of investigating alleged non-compliance.
Knowledge of project management.

MINIMUM QUALIFICATIONS:

Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Education:
Associate’s Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Special physical demands are not required to perform the work.
