● Based in Zurich, Switzerland

● 50% time (20 hours)

● Two days per week on site, including the Zurich Team Day of Tuesday

Your Tasks:

Office Operations and Facility Management

  • Primary interface with building management for all facility-related matters.
  • Manage regular interactions with relevant vendors (e.g., IT support, repairs, cleaners).
  • Oversee the procurement and inventory management of all office supplies, kitchen stock, and necessary equipment.
  • Handle incoming and outgoing mail and deliveries.
  • Troubleshoot general office issues (e.g., equipment failures, small repairs) or escalate them appropriately.
  • Develop and implement improved processes for the efficient operation of the office (e.g., key management, new employee onboarding, policies to enable sharing of limited resources, etc.)
  • Maintain financial hygiene by managing purchase orders (POs) and proper handling of invoices and receipts
  • Support good record keeping and the preparation of relevant reports, as needed.

Team and Visitor Support

  • Support logistics planning for visiting customers/partners and out-of-town Denali guests
  • Coordinate building access, desk space, and conference room usage
  • Advise on travel arrangements
  • Maintain a visitors guide
  • Book remote conference rooms, external meeting venues, and team events
  • Organize catering for the weekly team lunch

Qualification:

  • Experience in an office management, administrative, or similar coordination role.
  • Excellent organizational skills and attention to detail.
  • Demonstrated ability to manage multiple priorities and work autonomously.
  • Strong communication and interpersonal skills.
  • Must be a local resident of Switzerland with a legal right to work.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Fluency in German (Swiss-German a plus); Proficiency in English
  • Experience with basic accounting processes (e.g., familiarity with POs and receipt management).
