Job Summary
The Office Manager is responsible for overseeing the daily administrative operations of the office to ensure efficiency, productivity, and a smooth workflow. This role involves managing office supplies, coordinating internal and external communications, supporting staff and leadership, maintaining records, and ensuring compliance with company policies and procedures. The Office Manager serves as the central point of contact for all office-related needs and plays a critical role in fostering a positive and organized work environment.
Administrative & Operational Support:
· Process invoices, track expenses, and assist with budget reconciliation.
· Serve as the point of contact for IT support and ensure smooth functioning of office equipment.
· Manage access to shared tools, software, and communication platforms.
· Assist with onboarding of new employees and maintain up-to-date personnel records.
· Liaise with building management, vendors, and service providers
Client Service:
· Greet clients and visitors professionally and courteously
· Manage incoming phone calls, emails, and correspondence
· Ensure confidentiality and proper handling of sensitive client information
· Support client onboarding and document intake
Staff Coordination & Support:
· Assist with scheduling and coordinating work assignments for administrative staff
· Track continuing education and licensing requirements for CPAs and staff (if applicable)
· Maintain internal staff communications and procedural updates
· Coordinate staff events, meetings, and training sessions
Technology & Systems:
· Support use of practice management, document management, and tax software platforms (e.g., CCH, QuickBooks, etc.)
· Troubleshoot basic IT issues and coordinate with external IT support as needed
· Ensure software licenses, logins, and equipment are up-to-date and functioning
Compliance & Record-Keeping:
· Maintain records to ensure firm compliance with regulatory, privacy, and professional standards
· Coordinate document retention and destruction procedures in accordance with policy
· Assist with engagement letters and other client correspondence preparation
Preferred Qualifications:
· Prior experience in a CPA, law, or financial services firm
· Associate or Bachelor’s degree in business administration or related field
Work Environment:
· This position is onsite, requiring full-time presence at the firm’s office location
· Overtime may be required during peak tax season (January–April and September–October)

Job Type: Full-time
Pay: $39,400.00 – $55,000.00 per year
