About the Role

We are looking for a highly organised, proactive, and detail-oriented Operations Administrator to join our Operations team. This is a dynamic role that goes far beyond traditional administration and is ideal for someone who enjoys technology, problem-solving, and working in a fast-paced environment. The successful candidate will play an integral role in supporting the operational management of our retail property portfolio by assisting with administration, financial processing, reporting, compliance, and the day-to-day management of our operational systems. This position requires someone who is adaptable, eager to learn, confident with computer systems, and able to manage multiple priorities while maintaining a high level of accuracy.

Key Responsibilities

• Process, capture, and audit supplier payment documentation.

• Prepare payment packs and ensure all supporting documentation is complete.

• Audit operational and maintenance documentation for accuracy and compliance.

• Assist with the administration and auditing of soft services, including cleaning, security, landscaping, waste management, and hygiene.

• Capture, maintain, and update operational information on the company's facilities management system.

• Assist with maintaining and improving operational databases and records.

• Support Operations Managers with daily administrative requirements across multiple shopping centres.

• Generate and maintain reports using Microsoft Excel and other reporting tools.

• Assist with data capturing, validation, and quality control.

• Coordinate documentation for maintenance projects and operational compliance.

• Assist with the opening of new shopping centres and operational readiness projects.

• Conduct occasional site visits to shopping centres when required.

• Liaise with contractors, suppliers, property teams, and internal departments.

• Identify administrative or operational ine iciencies and recommend improvements.

• Perform additional operational support duties as required.

Minimum Requirements

• Minimum Grade 12.

• Relevant administration experience will be advantageous.

• Previous Retail environment experience will be advantageous.

• Advanced Microsoft Excel skills.

• Strong computer literacy and confidence learning new software systems.

• Experience working with operational, facilities management, or property management systems will be advantageous.

• Excellent written and verbal communication skills.

• Valid driver's licence and willingness to travel occasionally.

• Experience with reporting or data analysis tools will be advantageous (Power- Bi Specifically)
