What You’ll Do:

The Operations Administrator provides support and assistance to the Remarketing Department with the day-to-day functions of the dealership to ensure maximum efficiency, competency, andcustomer satisfaction.

Job Duties:

Create and maintain physical truck file for all used truck orders

Purchases and stocks all department inventory of used trucks.

Complete dealer documents for retail and wholesale transactions.

Review factory invoices received daily and make necessary updates within the used truck databases and make proper notifications to the sales staff, as necessary

Issue PO’s for various costs including, but not limited to: fuel, transportation of a vehicle, body up fit, and various Service repairs

Process used truck invoices in AP system

Process Wholesale floor transfers.

Complete dealer documents for retail and wholesale transactions.

Manage and reconcile vehicle clearing account for specified branches

Process all used truck titles with MVD, issue permits as needed.

Ensure the sales database is updated regularly with the truck locations, audit physical inventory regularly

Follow up with third party vendors to obtain verification that specified trucks are in their possession

Submits all check request to process payments to vendors and customers.

Take photographs of used trucks and ensure they are uploaded to the sales database for viewing by all sales staff and customers

Assist in the planning and/or implementation of various dealership events and/or activities for sales staff and customers

Maintain organization and safe keeping of all truck keys

Update truck manufacturer of all sold inventory, according to each manufacturers policies and procedures

Manage rebate/warranty schedules as required

Additional projects, as requested by management

Required Skills and Qualifications:

High school diploma or the equivalent

2+ years of Office administrative experience

Ability to reconcile schedules and reports

Ability to perform routine administrative paperwork

Ability to analyze and solve problems

Clerical, word processing and/or office skills
