Job Summary:

Royal Capitol Plaza is seeking a highly organized and detail-oriented Operations Assistant to provide crucial support to our operations team. The Operations Assistant will play a vital role in ensuring the efficiency and effectiveness of our daily operations by assisting with a wide range of administrative, logistical, and project-related tasks. This is an excellent opportunity for a proactive individual with strong organizational and communication skills who thrives in a fast-paced environment. Experience is preferred.

Responsibilities:

● General knowledge of a working Condominium, Security systems ie. CCTV, Maintenance.

● Provide administrative support to the operations team, including managing calendars, scheduling meetings, preparing reports, and handling correspondence.

● Assist with the coordination of operational activities, ensuring smooth workflow and adherence to established procedures.

● Maintain and organize operational documents, records, and databases.

● Assist in generating incident reports getting information from CCTV, Photos,

● Assist with inventory management, tracking supplies, and coordinating procurement when necessary.

● Support the logistics of projects, including scheduling resources, tracking progress, and communicating with relevant stakeholders.

● Facilitate internal communication within the operations team and with other departments.

● Assist in the preparation of operational reports and presentations.

● Help to identify and implement process improvements to enhance efficiency and productivity.

● Assist with onboarding new team members.

● Handle routine operational tasks and address issues as they arise.

● Ensure compliance with company policies and procedures.

● Perform other duties as assigned by the Resident Manager.

Qualifications:

● High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field is a plus.

● Proven experience in an administrative or operations support role is preferred.

● Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.

● Excellent attention to detail and accuracy.

● Proficient in Microsoft Office Suite, Google Docs.

● Strong written and verbal communication skills.

● Ability to work independently and as part of a team.

● Problem-solving skills and the ability to take initiative.

● Ability to maintain confidentiality.

Preferred Skills/Experience:

● Experience with specific operational software or systems relevant to the industry.

● Familiarity with project management methodologies.

● Experience in data entry and analysis.
