This position is an anticipated vacancy. It is expected to be vacant by 07/15/2025. However, the current incumbent has a right to rescind their retirement, leave, or resignation up until the day of the expected vacancy date. Your hire will not be confirmed until the position is vacated, and you may start the year as a Long-Term Substitute if the position does not become vacant by the start of the school year.

Reports To: Director of Social Work

POSITION OVERVIEW:

The Operations Coordinator resides in the Department of Social Work within the Division of Student Support of the Boston Public Schools, reporting to the Director of Social Work. This position will coordinate all office management and systems operations for the Department of Social Work. This role seeks to ensure the smooth day to day operating procedures within the Department of Social Work. The Operations Coordinator will be instrumental in maintaining protocols, procedures and designs for the Department of Social Work. Additionally, the Operations Coordinator will provide essential support for the Director of Social Work.

Responsibilities:

Collaborate in the development and implementation of systems and procedures to ensure the seamless execution of office operations.
Support the Director and Assistant Director with budget management and procurement.

Office Management

Support the day to day operations within the Department of Social Work
Manage all timekeeping, scheduling, stipend requests and other budgetary needs under the direction of the Director of Social Work
Support procurement processes and budgetary requests from other members of the Social Work Department
Support with data collection and organization of OSW evaluation data, including but not limited to the following databases/sources Aspen, Panorama, OSW Monthlies in collaboration with the Data Analyst for the Division of Student Support.
Coordinate all department operations, such as building usage, submitting work orders for building repairs, budget monitoring, and purchasing supplies and procuring space for Meetings and professional development.

Systems Management

Collaborate with the Office of Data and Accountability to ensure that data is relevant and comprehensive for the needs of both school based social workers and District Social Workers
Create presentations that accurately reflect the work that the Department of Social Work is doing both in school and community settings
Assist Program Director of Social Work and District Social Work team with preparing for monthly PD sessions for SBSWs to ensure that share out of data is easily interpreted and useful for planning and strategizing around how to improve service delivery to meet the needs of all BPS students
Prepare reports on model and outcomes for key stakeholders both internal and external to BPS
Provide triage for calls into the Social Work office, identifying the appropriate point person for follow-up, and accurately document and share information from callers with the appropriate point person to ensure immediate resolution
Adopt a see it, own it and fix it attitude to ensure that issues that can be easily fixed are addressed and connected with the appropriate point of contact to support improvement of their systems around the problem
Provide support for marketing and communication efforts

QUALIFICATIONS – REQUIRED:

BA, BS, or Associates in a related field from an accredited college or university
3 years professional experience in the Public Health, Education, Operations, Management or related field
Understanding of the role that the Department of Social Work plays in the landscape of BPS, both at the school level and at a macro level, as it impacts policy and strategy in line with the greater vision and mission of BPS
Excellent planning, research and data analysis skills
Strong attention to detail and the ability to work cost effectively and efficiently
Strong written, oral and communication skills
Proven leadership ability and collaborative approach to finding solutions, achieving quality work and delivering outcomes and materials in a timely manner in a changing, fast paced and deadline driven environment
Ability to develop and maintain positive working relationships with professional contacts, resources and/or networks and relate to people with sensitivity, tact, discretion and professionalism
Strong computer skills and a working knowledge of statistical software (SPSS/PASW, Excel), BPS databases (Aspen, Panorama, EdPlan) and Google Suite
Current authorization to work in the United States
An understanding of and commitment to gain greater understanding of what is necessary for an urban school system to enjoy continuous improvement in an increasingly complex and competitive environment.
A deeply held and unyielding belief in the overarching mission of public education.

QUALIFICATIONS – PREFERRED:

M.Ed, MSW, MPH or Master’s Degree in other related field
Ability to fluently speak a language other than English
Familiarity with Boston and Boston Public Schools
