Operations Generalist

Galt Pharmaceuticals is seeking a highly motivated and self-starter Operations Generalist!
This is a full-time salaried role with medical benefits, paid time-off and holiday pay benefits. We offer a hybrid, coworking and flex office space environment. Our office space is in the Atlanta – Cumberland Vinings vicinity. Galt offers a 4-day work week (36 hrs.) and in this role, you will be required to work in the office space a minimum of three days per week.
The Operations Generalist will be responsible for executing day-to-day operational tasks, including being responsible for the Galt Help Desk (Main Phone Line), receiving and processing Accounts Receivable (A/R) and Accounts Payable (A/P) invoices, processing invoices to customers, marketing orders fulfillment, processing sample and pharmacy orders. The incumbent must be able to work in a fast-paced environment, managing multiple priorities with a sense of urgency. Must be an independent self-starter with a demonstrated capacity to meet deadlines and achieve key deliverables. Proficiency in Microsoft Excel is required. Candidates with experience in QuickBooks Online are encouraged to apply.
Responsibilities:
Marketing and Sample Orders Fulfillment
Verification, Processing and Fulfillment of marketing and sample orders in a timely manner and inventory management of the same (including Heath Care Professional (HCP) and Field Rep Sample Requests fulfillment).
Responds to any marketing queries that may arise from internal and external customers, franchisees, or vendors.
Pharmacy Order Fulfillment
Independent pharmacies New Account Set-Up; license verification for all new accounts and expiry dates for existing accounts.
Process orders for Independent Pharmacies
Communicates directly with independent pharmacies on a regular basis by phone, email, or in-person to provide information and to ensure the best customer service possible.
Rep Sample Management
Creates entries in CRM to record transactions regarding Rep samples.
Monitors Rep sample discrepancies; updating inventory, as needed.
Communicates with Reps regarding inventory.
Ensures compliance regarding Rep certifications prior to releasing samples.
Accounting Support
Processes Accounts Receivables (A/R) and Accounts Payables (A/P).
Various accounting tasks in QuickBooks Online.
Franchisee/Rep Onboarding & Training Support, as needed.
Office Support
Responsible for Help Desk (i.e. Main Phone Line) inquiries that may come in via the main phone line; manages Help Desk inbox for inquiries.
Provides administrative support for day-to-day business activities for office staff.
Coordinates onsite and offsite meetings, as needed.
Supports event planning, books reservations, arranges lunch, as needed.
Performs other duties as assigned.
Professional Skills:
At least 1-year relevant work experience is preferred.
Exceptional attention to detail, strong work ethic, positive attitude, and entrepreneurial spirit.
Strong analytical, problem-solving, and collaborative decision-making capabilities.
Organized, proactive, professional, and have a strong sense of customer relations skills.
Quick learner, strong collaboration; exceptional interpersonal, verbal, and written communication skills.
Organized self-starter, with an ability to prioritize time-sensitive assignments.
Needs to be able to work in team or independently with minimal supervision.
Ability to multi-task between competing priorities.
Applicants must be able to lift and carry up to 30 lbs. when necessary.
Proficiency in Microsoft computer skills (Outlook, Word, Excel, PowerPoint).
Understanding of systems and processes overall and specifically as they relate to administrative responsibilities assigned.
