Responsibilities

  • Scan, index and upload documents into internal systems such as Kofax and other platforms, ensuring timely and accurate processing in accordance with company policies.
  • Maintain up-to-date accurate records by ensuring proper data entry and verification in internal systems, uphold strict compliance with terms and policies and regulatory requirements.
  • Manage incoming and outgoing parcels, coordinate with vendor and ensure timely distribution of documents and packages to internal departments or external parties.
  • Oversee distribution on incoming cases and emails across relevant teams, whether manually or through automated processes, to support daily operational goals.
  • Build and maintain strong working relationships with internal departments and external partners to support smooth operations and timely execution.
  • Proactively identify opportunities for process enhancement and recommend solutions that improve efficiency, accuracy or compliance.
  • Consistently meet KPI’s and turnaround times, with a focus on continuous improvement in procedures and workflow.

Qualifications

Minimum Qualifications:

  • No disciplinary or warning letters within the past 12 months.
  • Proven experience in a senior administrative or operations role, preferably in a high-value environment.
  • Proficient in Microsoft Word, Excel, PowerPoint and experienced with systems like Kofax or other document management tools.
  • Excellent written and verbal communication skills in English.
  • Demonstrated ability to manage sensitive documents and ensure data confidentiality.
  • High-speed, accurate data entry skills.
  • Adaptable, with the ability to work independently under pressure and manage shifting priorities.
  • Strong team player with a positive attitude.
