Role Description The PA for BOD (Personal Assistant for Board of Directors) is a full-time on-site role based in Ho Chi Minh City, Vietnam. This role provides comprehensive administrative, organizational, and communication support to members of the Board of Directors, ensuring their schedules and priorities are managed effectively. Daily tasks include coordinating meetings and appointments, organizing travel and accommodation, managing diaries and agendas, and preparing documents, presentations, and reports. The PA for BOD also handles correspondence, screens calls and messages, maintains records and files, and follows up on action items to support timely decision-making. The role requires close collaboration with internal departments and external partners, while maintaining confidentiality and a high level of professionalism.
Qualifications
- Strong Personal Assistance and Executive Administrative Assistance skills to support senior leadership and handle sensitive information.
- Excellent Communication abilities, including clear written and verbal communication and professional interaction with internal and external stakeholders.
- Proficient Diary Management skills to coordinate complex schedules, meetings, and events for multiple board members.
- Solid Clerical Skills, including document preparation, filing, record keeping, and basic data entry.
- Proven organizational and time-management abilities, with attention to detail and the capacity to prioritize tasks under pressure.
- Comfort working in a fast-paced environment, with flexibility to adapt to changing needs and last-minute requests.
- Proficiency with office productivity tools (e.g., email, calendars, spreadsheets, presentation software); experience with project or task management tools is an advantage.
- Previous experience supporting executives or senior management, ideally within retail, cosmetics, healthcare, or related industries.
- Fluency in English and Vietnamese, with strong business correspondence skills.
- Relevant diploma or degree in Business Administration, Office Administration, or a related field is preferred.
