About the Animal Shelter Foundation
The Animal Shelter Foundation (ASF) is a nonprofit organization dedicated to supporting the animals and programs of Tallahassee Animal Services. ASF funds critical veterinary care, spay/neuter services, adoption support, and community education to improve the lives of shelter animals and reduce pet overpopulation. We are seeking a Part-Time Administrative Coordinator to assist with internal operations, donor stewardship, and board support. This role is ideal for a detail-oriented, organized professional who is passionate about animal welfare and nonprofit administration.
Key Responsibilities
Administrative Support
Pick up mail from the P.O. Box weekly, scan and distribute to appropriate contacts.
Obtain Canine Companion timesheets monthly, verify hours, file on Google Drive.
Scan and email invoices received by mail to the Treasurer.
Maintain and organize digital files in Google Drive.
Monitor and organize storage locker inventory.
Basic website updates and maintenance (we will train you)
Donor Relations & Fundraising Support
Process and track donations in the donor database.
Run and share donor reports
Ensure donor gift notes and acknowledgment tasks are assigned appropriately.
Send handwritten thank-you notes to first-time donors and donors contributing over a certain amount; email thank-you notes to other donors.
Coordinate donor follow-ups, including outreach and scheduling informal meet-ups with key supporters.
Help research, draft and gather materials for grant applications
Event & Program Support (As Needed)
Provide assistance for ASF events, such as tracking RSVPs, preparing event materials, researching vendors, setting up and helping to staff events
Assist with volunteer coordination for ASF programs.
Support donor appreciation initiatives and special campaigns.
Qualifications & Skills
Strong organizational skills with attention to detail.
Excellent written and verbal communication.
Proficiency in Google Drive, Microsoft Office, and donor management software (or willingness to learn).
Ability to work independently and handle multiple tasks.
Passion for animal welfare and ASF’s mission.
Previous experience in nonprofit administration, donor relations, or event coordination is a plus.
Work Environment & Expectations
This is a part-time, flexible position. The role requires a mix of remote work and occasional in-person meetings. Candidates should be based in Tallahassee, FL, or the surrounding area.

Pay: Up to $18.00 per hour
