paradiGM Community Ltd is seeking a detail-oriented and organized Community Manager to manage our membership lifecycle and billing processes. You will be the backbone of our community operations, ensuring that new members are onboarded smoothly, existing memberships are maintained, and financial records in Stripe/Xero remain accurate. The position is completely remote (no requirement to live in the United Kingdom).

Key Responsibilities

1. Membership Onboarding & Data Management

  • Application Processing: Monitor the website for new membership applications, extract applicant details from the website (Ultimate Member/WordPress) and maintain a master tracking sheet.
  • Database Maintenance: Update member statuses when changes occur.
  • Website Curation: Manually upload member headshots to the website backend to ensure the member directory remains professional and complete. Work together with our contract IT consultant to ensure the website runs without issues.

2. Billing & Subscription Management (Stripe/Xero/Designated System)

  • Subscription Setup: Create new customer profiles in Stripe/Xero/Designated System and initiate subscriptions (€100 or €200 tiers).
  • Payment Automation: Transition paid members from "Send Invoice" to "Auto-Charge" to streamline annual renewals.
  • Invoice Oversight: Monitor unpaid invoices. Void or mark invoices as "uncollectible" for members who do not pay within the 2-week (new) or 6-week (renewal) grace periods.
  • Accounting Coordination: Provide necessary print-outs and overviews from Stripe/Excel for the accountant to ensure 10% of fees are correctly allocated as donations. Make sure Xero is kept up-to-date (payments received, payments made, …)

3. Member Communications

  • Outreach: Send "Welcome" emails to new members upon receipt of payment, communicate events and other information via social media platforms, communicate with members via email and WhatsApp as needed.
  • Retention: Manually email members reminder before their subscription auto-renews, providing a personal touch alongside automated Stripe notifications.
  • Offboarding: Upon cancellation, remove members from the website, Mailchimp, WhatsApp, and LinkedIn member groups.

4. Financial Administration

  • Donation Processing: Facilitate the lump-sum donation transfer to our chosen NGO (typically annually in October or as directed).
  • Record Keeping: Ensure the start date of membership aligns strictly with the date of invoicing for accurate records.

Required Skills & Qualifications

  • Software Proficiency: Proficiency with Excel (data entry and tab management), Word and email systems such as Outlook (or similar) are required. Experience with basic website platforms, accounting and payment systems such as Stripe (used for subscription management), Xero (used for accounting) and WordPress is preferred but not required.
  • Communication: Excellent written English for professional correspondence with international members.Experience with MailChimp, LinkedIn and Instagram preferred.
  • Attention to Detail: Ability to manually migrate data between systems without errors, to send error free communications and invoices.
  • Self-Starter: Ability to work independently, troubleshoot technology systems as needed and manage the 2-week/6-week "payment windows" without constant supervision. If lacking any preferred experience, willing and able to learn systems independently.
  • Efficient/innovative: Able and willing to suggest other ways to work to become more efficient/cost saving.

Compensation

Commensurate with experience and based on pay scale in country of residence. Compensation will be on an hourly basis (freelance).
