Summary

With minimal direction, the Payroll Clerk is responsible for processing TTOC/TUC pay, the Maternity and Compassionate Leave top‑up pays, and the Summer School pay. The Payroll Clerk also provides assistance with CUPE and Teachers’ pay and works cooperatively with other employees and the public.

Duties

  • Check and extend timesheets and documents to ensure accuracy and appropriateness.
  • Check timesheets and adjustments against edits to ensure accuracy.
  • Provide assistance to other payroll staff and help with project work as required.
  • Input and retrieve data on the computer such as new employee information, changes in employee status, and hours worked.
  • Maintain up‑to‑date knowledge of employee contracts and collective agreements.
  • Maintain records and make necessary adjustments for items such as sick leave, increments, absentees, income tax, and Workers’ Compensation Board.
  • Answer inquiries and relay messages to and from staff, external agencies and the public by computer, telephone, mail, facsimile, or in person.
  • File and sort various materials such as timesheets, payroll reports and memoranda.
  • Duplicate, sort, collate and staple materials.
  • Lift and move office and paper supplies in print room and general office area.
  • Perform other clerical or emergent duties.
  • Co‑ordinate and organize workload.
  • Cancel and reissue pay cheques through payroll system.
  • Produce department reports.
  • Liaise with school secretaries and Human Resources staff regarding payroll changes and form completion.
  • Ensure general ledger account numbers are valid for timesheets.
  • Extract, print and distribute timesheets, pay statements and records of employment as required, ensuring that pay and deduction calculations are correct.
  • Generate pay calculations, produce payroll registers and prepare payroll.

Required Knowledge, Ability, Skills (Payroll Clerk)

  • High school graduation or equivalent.
  • Completion of 4 courses equivalent to PCP (Payroll Compliance Program).
  • Two years of experience working with a large automated payroll environment within the past four years.
  • Intermediate knowledge of Word and Excel.
  • Intermediate knowledge of database and computer functions.
  • Keyboarding skills of 50 words per minute or proof of competency in keyboarding skills.
  • Proficient with numeric keypad skills.
  • Familiar with payroll applications related to union agreements, statutory requirements, Revenue Canada, and WCB regulations.
  • Knowledge of Business English, punctuation, spelling, and Business Math.
  • Knowledge of office practices and procedures.
  • Ability to use courtesy and tact in explaining and discussing information in contact with public, parents, staff, and students.
  • Ability to perform individually and as part of a team.
  • Ability to effectively communicate both verbally and in writing.
  • Ability to plan and schedule work and organize workload effectively.
  • Ability to work with constant interruptions.
  • Ability to maintain close attention to detail for periods of sustained duration and to meet deadlines.

Tools and Equipment Used

Computer, photocopier, telephone, facsimile machine, typewriter, answering machine, calculator, printer, and other office‑related equipment.

Physical Abilities

  • Sufficient vision to operate computer.
  • Fundamental ability to operate office equipment.
  • Manual dexterity.
