Your role
We are seeking a Payroll Specialist to join our dynamic team at EssilorLuxottica Vietnam. In this role, you will be managing and executing accurate, timely, and compliant payroll operations across three entities (1 retail and 2 wholesales including production) with a total headcount of approximately 260 employees. This role ensures payroll accuracy, statutory compliance, and continuous process improvement while partnering closely with HR and Finance. Your strong English communication skills will be essential in collaborating with various stakeholders across 3 entities and Regional team in Singapore.
Key Responsibilities
- Payroll Operations
- Manage end-to-end payroll processing for approximately 300 employees across 3 entities.
- Ensure accurate calculation of salaries, overtime, incentives, allowances, deductions, and final settlements.
- In charge of inputting employees data, terminating on SAP system to process monthly payroll
- Review and validate payroll inputs including attendance, leave, new hires, terminations, and adjustments.
- Ensure payroll is processed accurately and on time according to the payroll calendar of 3 entities
- Compliance & Statutory
- Ensure full compliance with Vietnamese labour law, Personal Income Tax (PIT), and social/health/unemployment insurance regulations.
- Prepare and submit all statutory filings and reports on time.
- Coordinate with tax authorities, insurance agencies, and auditors when required.
- Reporting & Reconciliation
- Prepare monthly payroll reports, payroll cost analysis, and variance reports.
- Reconcile payroll data with accounting/finance records.
- Support budgeting, forecasting, labour bridge report related to payroll expenses.
- Process Improvement
- Review and improve payroll processes, controls, and systems.
- Maintain proper documentation of payroll procedures and SOPs.
- Participate in HRIS/payroll system implementation or enhancement projects.
- Stakeholder Management
- Act as the main contact point for payroll-related queries, in communication with Global Shared-Service team in Manila (GBS) when making salary payment
- Collaborate closely with HR, Finance, and Department Heads across all entities.
- Provide guidance to employees on payroll, tax, and benefits matters.
Key Requirements
- Bachelor’s degree in Human Resources
- 3–5 years of payroll experience, preferably from a payroll service provider, a multi-entity and international environment.
- Experience handling payroll for 200+ employees is highly preferred.
- Strong knowledge of Vietnamese labour law, PIT and insurance regulations.
- High level of accuracy and attention to detail.
- Strong analytical and problem-solving skills.
- Good communication and stakeholder management skills.
- Ability to handle confidential information with integrity.
- Experience with SAP.
- Advanced Excel skills (pivot tables, formulas, data analysis).
- Good command of English (written and spoken)
