PEOPLE AND OPERATIONS SPECIALIST:

The People and Operations Specialist provides support to the overall agency and the staff in both People (HR) and Operations (OPS). This position will be integral in the stewardship of the resources allocated to these departments. From an HR perspective, this position is often the front-line for all day-to-day HR tasks including, but not limited to, the employee life cycle and employee engagement (culture champion) as well as legal and ethical compliance. From an OPS perspective, this position will be vital in vender relations including vetting new vendors, maintaining relationships with current vendors, analyzing usage, and making recommendations for improving infrastructure. This position is a foundational position which supports the success of the agency and the staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintain Amazon account, placing tax exempt orders for staff, creating invoices and expense requests in a timely manner.
Coordinate and lead staff participation in community events (MLK, Pride, Juneteenth) and represent the Human Resources department on the Employee Action Committee
Monitor inboxes for all administrative email addresses: Info, Admin, Tickets, and Incoming Calls
Respond to all outside inquiries or direct to appropriate staff members
Monitor, forward, and/or respond to all inbound phone calls through the VOIP service.
Create a welcoming environment in the front lobby for all guests to feel included and in a safe space.
Greet guests and inform staff of arrivals.
Responsible for maintaining vendor relations, creating an asset tagging system and clear lines of communication with company reps and portal access.
Ensure employment policies are adhered to in all legal and organizational practices while partnering with staff to implement changes as needed.
In partnership with the VP Finance, ensure that BBBSC has the appropriate systems, physical space, and technology to operate efficiently and effectively.
Serve as the safety officer ensuring work environments are adequate and safe. Regularly straightens up common areas, organizes equipment and tools, and maintains a clean and orderly work environment for Denver staff.
Identifies opportunities for cost savings, better efficiency, or other improvements; recommends and implements policy or process changes as appropriate.
Participates in the creation of and implementation of policies and procedures that will improve day-to-day operations.
Vendor relations, including maintenance of current relationships and bidding out and evaluating new vendors.
Identify areas for improvement (e.g., consolidation of accounts)
Research options/solutions efficiency within the agency (e.g., shredding, file maintenance)
Point person for information technology (e.g., assigning new computers, exchanging inoperable computers, internet issues, etc.)
Coordinates logistics specific to office changes (e.g., reseating offices).
Provides analysis of current contractual obligations and timelines; suggests or recommends options including maintaining current contract or changing vendor/contract.
Build meaningful and trusted relationships across the organization, creating a strong culture of bold and brave conversations, innovation and changes in our commitment to internal and external diversity, belonging and inclusivity.
Provide human resources support and consultation across to employees, managers and executives across the organization on complex issues including recruitment, onboarding/offboarding, performance management, compensation and rewards, employee relations, culture development, DEI, and talent development.
Provide a People First perspective on people related issues and policies across the organization.
Ensure the organization has diverse staff representing BBBSC communities, constituents and student populations served, and with diverse skills appropriate to the needs of the position.
Provide change management support
Benefit Administration, consisting of annual policy review and renewal, open enrollment implementation, carrier connections and communications.

Support the implementation of performance management operations, including current job descriptions, standards of performance, state and federal compliance laws and performance evaluation instruments.
Support the standardization and implementation of review and feedback processes.
Develop systemic processes and procedures to ensure mutually developed cultural norms and best practices are embedded into each department.
Create and maintain Personnel files updating with current signed policies
Manage HRIS system and troubleshoot for staff
Supports employee recruitment, screening, scheduling interviews, communication with candidates, follow-up, background check and onboarding processes, performance management

QUALIFICATIONS

A minimum of 3 years of experience and a proven track record of success. Non-profit experience a plus.
A passion for the BBBSC mission and heart for public servant leadership.
Outstanding organizational, planning, and executing skills – capacity to imagine, plan and implement.
Excellent written, verbal, and computer skills and an appetite for problem solving and delivering high-quality, consistent internal and external customer service
Attention to detail, ability to take direction, and a commitment to quality work.
Prompt, flexible, willingness to learn and organize.
Enjoys working with a team and collaborating with others.
Knowledge of basic administrative and business principles, and clerical systems and procedures.
A passionate and persuasive communicator with excellent interpersonal skills.
Demonstrated success in organizational management with the ability to coach staff, manage, and develop high-performance teams, set, and achieve strategic objectives, and oversee budget management.
Must be Microsoft Office proficient 365 Administrator experience a plus.
System knowledge of: BambooHR, Paycom, DialPad, and SalesForce preferred.

This is a Hybrid position with a minimum of 2 days onsite per work week required; remaining days remote-flexible based on team needs
