We are now looking for a highly organized, confident, and people-focused People & Office Operations Coordinator professional to help lead the daily rhythm of the company.
Although this is not a legal position, we believe the organization, discretion, communication, deadline management, and file-management skills developed in a legal-assistant role transfer exceptionally well into this position.
This opportunity may be especially well suited to an experienced legal assistant who enjoys managing complex details and working with people, but is ready for a more dynamic, relational, and hands-on environment outside the legal industry.
Your Mission
The Operations Coordinator role helps create calm, clarity, and care across :AM CLEANING YYC.
In a growing home care service company, you will be a central point of communication between clients, technicians, leadership, and internal systems.
You are here to help protect the client experience, support the employee experience, close loops, improve systems, and make the business run better.
This is a hands-on coordinator role for someone who enjoys organizing details, helping people, solving problems, communicating clearly, and creating structure in a busy environment.
What You’ll Do:
Daily Operations and Scheduling
- Coordinate client appointments, employee schedules, routes, and staffing coverage.
- Monitor the workday and respond to call-ins, delays, access issues, client changes, and schedule adjustments.
- Coordinate keys, alarm instructions, parking notes, access details, and property-specific instructions.
- Maintain accurate information in Jobber and internal systems.
- Identify operational concerns early and communicate updates clearly.
Client Experience
- Manage client communication by phone, email, and text.
- Respond warmly and professionally to questions, requests, service changes, and concerns.
- Serve as the first point of contact for many client issues and coordinate follow-up when needed.
- Maintain accurate client preferences, property notes, access instructions, and communication history.
- Help deliver the polished, thoughtful, hospitality-driven experience that CLEANING is known for.
Payroll and Financial Administration
- Prepare and process semi-monthly payroll accurately and on time.
- Review employee hours, mileage, bonuses, pay adjustments, deductions, vacation pay, and statutory holiday information.
- Follow up on incomplete, incorrect, or unclear time entries.
- Maintain accurate and confidential payroll records.
- Prepare invoices, process payments, and follow up on outstanding invoices when needed.
Recruitment and Employee Administration
- Support job postings, interview scheduling, candidate communication, and reference checks.
- Coordinate onboarding paperwork, payroll setup, employee documentation, and first-day details.
- Track employee availability, time-off requests, staffing needs, birthdays, anniversaries, and policy acknowledgements.
- Coordinate performance reviews, employee check-ins, and follow-up items.
- Maintain employee files, benefits documentation, forms, templates, and people records.
Office and Team Coordination
- Help keep the office and shared spaces organized, stocked, professional, and welcoming.
- Coordinate office supplies, snacks, forms, team materials, equipment checklists, mail, packages, and vendor-related requests.
- Welcome candidates, visitors, vendors, and team members professionally.
- Support internal meetings, training days, team lunches, recognition moments, and celebrations.
- Help coordinate agendas, meeting notes, reminders, action items, and follow-ups.
Systems, Documentation, and Continuous Improvement
- Maintain organized client and employee files, reports, templates, and operational records.
- Track deadlines, follow-up items, unresolved questions, and outstanding actions.
- Document conversations, decisions, and next steps accurately.
- Develop and update internal procedures, policies, checklists, and SOPs.
- Look for ways to improve systems, reduce recurring problems, and make work easier.

- You understand the daily rhythm of our technicians, clients, schedules, and internal systems.
- You are becoming confident in Jobber, Wagepoint, Slack, Google Workspace, AI tools, and our internal procedures.
- You have built trust with leadership, office team members, and technicians as a warm, discreet, organized, and reliable support person for the team.
- You are helping keep client notes, employee files, payroll details, follow-up items, and operational records accurate and current.
- You have delivered at least one memorable team, recognition, or culture-building moment.
- You have reduced manual administrative work through better AI-supported workflows, and repeatable systems.

Experience That Helps
- 2+ years of experience as a legal assistant, executive assistant, senior administrator, operations coordinator, office manager, people operations coordinator, or similar professional role.
- Experience managing a high volume of files, deadlines, appointments, client communication, and follow-up items.
- Hands-on payroll-processing experience is strongly preferred; experience with Wagepoint or another Canadian payroll platform is an asset.
- Experience using CRM or scheduling systems, Google Workspace, spreadsheets, Slack, shared drives, AI tools, or similar platforms.
- Experience in legal administration, insurance, healthcare, hospitality, property management, construction, trades, home services, or another client-facing environment is an asset.
- Recruitment, human-resources, onboarding, benefits-administration, or employee documentation experience is an asset.
Requirements
- Exceptional written and verbal English communication.
- Strong professional judgment, discretion, and attention to detail.
- Comfortable learning new systems and managing several communication channels.
- Working knowledge of timesheets, mileage, vacation pay, statutory holidays, deductions, and payroll recordkeeping is an asset.
- Valid Class 5 driver’s licence and reliable vehicle required.

Compensation and Benefits
- $50,000–$55,000 per year, based on experience.
- Monday to Friday, 7:30 a.m.–4:00 p.m.
- In-person role at 4030 8 Street SE, Calgary.
- $500 health spending benefit after probation.
