Overview

We are seeking an energetic, highly organized, and people-oriented Personal Assistant Office Events & People Experience to provide administrative support to managers and employees while helping create engaging and well-organized experiences across the office.

This role combines administrative support, event coordination, employee experience, and office engagement. In addition to supporting managers and employees with their day-to-day administrative needs, this individual will play an important role in planning and coordinating office events, team activities, client-facing gatherings, leadership visits, and other initiatives that bring people together.

The ideal candidate genuinely enjoys working with people and creating experiences. They are creative, detail-oriented, comfortable coordinating multiple stakeholders, and confident interacting with employees, senior leaders, clients, vendors, and external partners.

Key Responsibilities

  • Provide day-to-day administrative support to managers and employees, including calendar management, meeting coordination, scheduling, and logistical planning.
  • Support managers with calendar prioritization, meeting requests, follow-ups, travel, expenses, and other administrative needs.
  • Plan and coordinate office events, employee activities, team gatherings, celebrations, leadership visits, offsites, and client-facing events.
  • Manage event logistics from planning through execution, including venues, catering, invitations, attendee management, room setup, audiovisual requirements, transportation, materials, and vendor coordination.
  • Partner with managers and internal teams to develop engaging activities that strengthen collaboration, employee engagement, and office culture.
  • Act as a point of contact for employees participating in office events and activities, providing clear communication before, during, and after events.
  • Coordinate with external vendors, venues, caterers, and service providers, ensuring requirements, timelines, and deliverables are met.
  • Assist with event budgets, invoices, purchase requests, expense tracking, and reconciliation.
  • Support internal and external meetings, including client visits and events involving senior leaders or external stakeholders.
  • Coordinate domestic and international travel arrangements using Concur, including flights, accommodations, transportation, and itineraries.
  • Draft and format event communications, invitations, presentations, agendas, schedules, and other materials using Google Workspace.Maintain team calendars and help coordinate key office dates, events, meetings, and employee activities.
  • Assist with onboarding activities and experiences for new employees.
  • Work closely with reception, facilities, technology, security, communications, and other internal teams to ensure successful execution of meetings and events.
  • Gather feedback following events and identify opportunities to continuously improve the employee and guest experience.
  • Provide backup and cross-coverage support for other administrative colleagues when needed.
  • Contribute ideas and proactively identify opportunities to make the office a more engaging, welcoming, and collaborative environment.

Qualifications

  • 3-5+ years of experience in administrative support, event coordination, office management, hospitality, employee experience, or a related role.
  • Demonstrated experience coordinating meetings, events, or employee activities from planning through execution.
  • Excellent interpersonal and communication skills, with a genuine enthusiasm for working with people.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Ability to manage multiple events, deadlines, stakeholders, and administrative priorities simultaneously.
  • Comfortable interacting with employees, senior leaders, clients, vendors, and external stakeholders.
  • Strong service orientation and ability to anticipate the needs of others.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) required.
  • Experience using Concur or similar travel and expense management platforms.
  • Proactive, creative, resourceful, and solution-oriented approach.
  • High level of discretion and professionalism when handling confidential or sensitive matters.

Preferred

  • Fluent in Spanish and English (written and spoken).
  • Experience working in financial services, banking, professional services, or a global organization.
  • Experience organizing corporate events, employee engagement activities, executive visits, client events, or office celebrations.
  • Experience working with external vendors, venues, catering providers, and other event partners.
  • Familiarity with internal collaboration tools such as WebEx, Google Meet, and similar platforms.Interest in workplace experience, employee engagement, hospitality, and creating environments where people feel connected and welcome.
