We are looking for a highly organized, proactive, and detail-oriented Personal Assistant (PA) to support our Co-Founder in managing daily operations, administrative workflow, and influencer finance coordination.

Key ResponsibilitiesExecutive & Operational Support
- Manage the Co-Founder’s daily calendar, schedule internal/external meetings, and organize travel itineraries or appointments.
- Act as the primary point of contact between the Co-Founder, clients, partner agencies, and internal departments.
- Assist in preparing meeting agendas and campaign briefing materials.
Financial Disbursements & Admin
- Coordinate and process payments, reimbursements, and payouts to content creators, influencers, and third-party vendors in a timely manner.
- Ensure invoices, payment receipts, and banking details are accurate and properly filed.
- Track payment statuses and handle invoice inquiries from external talent and agency partners professionally.
Information & Records Management
- Assist in updating and maintaining digital master lists, contact databases, and campaign logs.
- Ensure all client files, contracts, NDAs, and project documentations are properly archived and organized for easy retrieval.
Requirements
- Experience: Minimum 1 year of experience in an administrative, personal assistant, or operational support role (Agency, PR, or Media background is a strong plus).
- Skills: High level of proficiency in Google Workspace (Docs, Sheets, Slides) or Microsoft Office. Exceptional organization and time-management skills.
- Financial Literacy: Familiarity with basic invoice processing, expense tracking, and online banking workflows.
- Language: Strong verbal and written communication skills (Mandarin or other local languages are an added plus).
- Personality: Meticulous eye for detail, reliable, discretion with sensitive agency/financial data, and comfortable working in a fast-moving environment.
