Hawkins Eberdal Ltd. was incorporated in London, UK in 2019 and relocated to the North of Mauritius in 2021. The office is located in Beau Plan, Mauritius.

About the job

We are looking for an Executive Assistant and Office Manager to work directly with the Managing Director and take ownership of the operational backbone of the firm. This is a hands–on, high–trust role with exposure to every part of the business except team compensation, and it suits someone who wants to grow alongside a small, ambitious firm working on meaningful projects across Africa.

You will be the person who makes sure things run: the MD's calendar is managed, projects are logistically on track, suppliers are paid, investors are tracked, and the office hums. In return you will get direct mentorship from the MD, visibility into live transactions and advisory engagements in the sustainability sector, and the opportunity to build out systems and processes as the firm grows.

The successful candidate will report directly to the Managing Director.

Responsibilities

Executive support to the Managing Director

  • Manage the MD's calendar, including scheduling meetings, calls, speaking engagements, and domestic and international travel, exercising judgement on time commitments and priorities.
  • Keep the MD informed of time-sensitive and priority issues and ensure appropriate follow-up.
  • Serve as a primary point of contact between the MD and external parties, including clients, funders, suppliers, the accountant, and the insurer.
  • Prepare, reconcile, and submit expense reports.
  • Handle confidential and sensitive information with discretion at all times.

Project and event logistics

  • Manage administrative logistics for active client projects, including hotel bookings, venue coordination, and travel arrangements for training sessions, workshops, and events (including international events such as our upcoming training workshop in Nairobi).
  • Coordinate with external suppliers and service providers on behalf of the MD.
  • Support participant communication and materials preparation for conferences and training events.
  • Plan ad-hoc in-house and off-site activities, including team events and client functions.

Finance operations

  • Run the monthly payment cycle: process supplier and contractor payments, ensure invoices are approved and filed correctly, and keep payment records up to date.
  • Maintain the firm's finance tracker and update it each month with the latest management accounts.
  • Liaise with the external accountant, auditor, tax advisor, insurer, and other professional service providers on routine matters and recurring filings.
  • Monitor and reconcile office expenses and petty cash.

Investor and contact tracking

  • Maintain spreadsheets and databases that track investors, lenders, and business contacts (currently around 300 entries and growing).
  • Update contact details, notes, verification status, and follow-up actions.
  • Organise targeted lists of potential investors for specific projects and fundraising rounds.

Research support

  • Identify organisations, funds, and individuals relevant to specific sectors, including renewable energy, sustainable agriculture, infrastructure, and impact investment.
  • Compile short, well-sourced summaries of organisations and key contacts for the MD's review.

Document and proposal support

  • Format proposals, reports, and presentations to a high professional standard.
  • Assist in compiling supporting documents for tender and proposal submissions.
  • Prepare routine administrative documents such as Non-Disclosure Agreements and Engagement Letters using existing templates, for the MD's review and signature.
  • Draft and proof routine correspondence on behalf of the MD.

Systems and office management

  • Help test and roll out simple tools (for example Airtable) to organise investor databases, contact lists, and internal trackers.
  • Propose and implement improvements to office processes and procedures.
  • Maintain paper and electronic filing systems.
  • Monitor office supplies and order stationery, furniture, appliances, and electronics as required.
  • Handle printing, mail, copying, and general office administration.
  • Report on office operations and progress to the MD and work with her to continuously improve how the firm runs.

Minimum Requirements

  • 2 to 5 years' professional experience as an Executive Assistant, Personal Assistant, Office Manager, or in a similar administrative or operational role, ideally in a professional services, finance, or advisory environment.
  • Diploma or degree in Business Administration, Secretarial Studies, Finance, Accounting, or a related field. Strong candidates from other backgrounds with directly relevant experience will also be considered.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat. Comfort with Excel beyond the basics is essential.
  • Excellent written and spoken English. English is our working language.
  • Working knowledge of Creole and/or French is an asset but not a requirement. Strong candidates who work in English only are welcome to apply.
  • Comfort handling confidential information, including financial and commercial data.

Remuneration and benefits

  • Starting salary: MUR 35,000 to MUR 50,000 per month, depending on experience and demonstrated capability.
