Our Client, a Luxembourg-based subsidiary of a major insurance and pensions provider, delivers long-term servicing of EU-based life insurance policies. They are seeking a Personal Assistant to the CEO to serve as a trusted operational anchor for a dynamic and growing organisation.
This is a role where no two days look the same. The Company offers a genuine opportunity for growth, with the potential to evolve into a broader Executive Assistant position over time. The right candidate will bring both administrative precision and the kind of strategic awareness that allows them to anticipate needs before they arise.
Your areas of responsibility:
- Manage the CEO's diary, correspondence, and administrative workflows, ensuring time-sensitive communications such as regulatory letters are dispatched accurately and on schedule
- Handle day-to-day office operations, including mail management, visitor coordination, and ad hoc logistical tasks
- Organise and coordinate internal events, including four board meetings per year, monthly management meetings, and team lunches
- Draft, proof, and format written communications, bringing clarity and structure to documents and processes that may not yet have formal written procedures
- Act as a proactive point of contact between the CEO and internal or external stakeholders, bridging communication gaps with initiative and discretion
- Anticipate operational needs, identify potential issues ahead of time, and implement practical solutions to keep the business running smoothly
- Support team cohesion and contribute to a positive office culture as the business continues to grow
Your profile:
- Previous experience in an administrative, PA, or office management role, ideally within a professional services or financial services environment
- Fluency in both English and French is essential
- Strong written communication skills, with an ability to produce clear, well-structured documents and correspondence
- A proactive, self-starting personality: someone who takes initiative, thinks ahead, and does not wait to be told what needs doing
- Comfortable operating in an environment without rigid written procedures, and capable of bringing structure where it is needed
- Emotionally intelligent and socially confident, with the ability to build a warm, professional rapport with a CEO who values a PA who will take the first step
- Highly organised, detail-oriented, and able to manage competing priorities without losing sight of what matters most
- Genuine interest in understanding the business beyond the administrative layer, with ambition to grow into a more strategic support role over time
